The Decatur Bridal Expo 2014 will be held at the Decatur Conference Center and Hotel on January 10 and January 11, 2014. Expo hours will be 5pm to 9pm on Friday and 12pm to 4pm on Saturday.

Price & Payment

At present, the price for one booth is $350.00.

A non-refundable down payment of $100.00 and signed contract is due by June 1, 2013

Until a signed contract and down payment is received, an exhibitor is not guaranteed a booth. After June 1st, if you have not paid your down payment another exhibitor on the waiting list can be accepted. If balance is not paid in full between June 1st and October 1st, the total due would increase to $375.00. If the balance is not paid until after October 1st, the total due would increase to $400.00. If the balance is not paid by October 15th, I understand that my booth space may be allotted to the next exhibitor on the waiting list, and that I risk the forfeit of my $100.00 deposit.

Benefits of Participation

Your business will be featured in all advertising. This may include, but is not limited to, television, billboards, radio, newspaper and printed materials. You have a venue to showcase your wedding services and you have access to interested and serious clients who may be shopping for your services. You have a chance to network with other vendors in wedding services and may garner referrals to clients from that networking. A mailing list will be compiled from entries for the grand prize drawing and provided to exhibitors. Bridal Expo participants may compile their own mailing list at this event: however, any and all mailing lists may be used only by participating businesses. This list is not to be bartered, sold or given to any other business, person or organization. Failure to abide by these rules will result in exclusion from future Bridal Expo exhibitions.

In order to present a balanced offering of goods and services, no more than 6 exhibitors in the same category will be allowed in the Bridal Expo. They are as follows: Florists, Disc Jockeys, Photographers, Caterers, Reception Halls, Bridal Registry or Gifts, Carriage-Limo, Cakes, Video, Bridal Shops, Insurance, Media, Bridal Consultants or Planners, Balloons, Candies, Jewelry, Travel.

Duties of Exhibitor

Exhibitor agrees to help promote the Bridal Expo prior to the event by providing advertising space in their business location. Exhibitor also agrees to decorate booth space in an appropriate manner. Exhibitor agrees to provide a sufficient number of persons to adequately staff exhibitors’ booth during all hours the Bridal Expo is open to the public. Exhibit set up should be completed ONE HOUR prior to show opening. Exhibits are not to be dismantled before stated closing time. Early tear down will result in a $50.00 fine.

Participation in Bridal Expo includes participation in planning meetings, as well as the show itself. Each participate in business will be encouraged to attend scheduled meetings and actively participate on committees.

Exhibitor may give away free samples from their individual booth location. Exhibitors will not be able to block the aisles or go outside the boundaries of the booth with tables, chairs, trays, noise or salespeople. Music will be allowed, but must be kept low as not to interrupt activities in surrounding exhibitor booth areas. Failure to cooperate with courtesy requirements can result in expulsion.

The participating business will furnish two (2) door prizes to be given away during the Bridal Expo Style Show. Winner of door prizes will be drawn during the style show. Winner’s names will be given to each vendor.

Insurance & Security

The Bridal Expo does not assume any liability for theft, changes to property, person or persons arising from accidents or to other causes or other losses incurred by exhibitor. Exhibitor hereby releases sponsor from any such liability whatsoever.

Agreement

Failure to abide by this agreement will result in exclusion from future Bridal Expo exhibitions.

Booth size will depend on the number of exhibitors involved. Approximate size will be 10 x 10. Returning vendors who participate reserve the right to keep their past booth location unless they choose to trade with another willing vendor. It is our goal to keep vendors within the same category separate unless both parties agree and as space allows.

Please check the following set up information as needed for your booth.

Conference Center and Hotel. All tables must be skirted and table skirting is the responsibility of

the exhibitor.

A short business description is included in the brochure handed out at the show. Please include a short one paragraph description of your business. This information will be listed along with your business name, address, phone number, fax number and e-mail or web site.

If you have a computer you may e-mail your business information to to update info onto our website. You still need to mail or email all contracts.

Bridal Expo By-Laws

1.  The Bridal Expo will consist of small businesses, locally owned, relating to the Bridal industry.

2.  The structure of the Bridal Expo will consist of 3 officers: President, Secretary, and Treasurer.

3.  Additional division of responsibilities will be handled by committee chairs. The committees are Advertising, Floor Planning, Programs, New Membership and Style Show (Stage Décor). Additional personnel needs are door prize drawing during the style show, ticket taking, general help-as needed for various things, composing brides list, and clean up after the style show. Each exhibitor must sign up and participate on a committee.

4.  A vendor may be allowed or disallowed to participate in the Bridal Expo based on a committee’s decision. Once a vendor has been asked to leave, or had any police involvement, they will not be able to participate in any future expos.

5.  All participating merchants must pay full entry fee. Any service performed for Bridal Expo that must be charged for, will be paid separately. Bridal Expo will NOT trade services for booth rent.

6.  No more than 6 participants in the same field will be allowed in the Bridal Expo.

7.  The Bridal Expo does not pay for any literature or security guards for any INDIVIDUAL exhibitor.

8.  NO MERCHANT WILL ADVERTISE FOR A NON-PARTICIPATING BUSINESS FROM HIS OR HER BOOTH DURING THE BRIDAL EXPO.

9.  The Bridal Expo contract agreement and submission of a $100.00 non-refundable deposit is due by June 1st to hold your booth space.

10.  The Bridal Expo booth space will be determined yearly based on the previous year’s operating expenses and approved by vote.

The booth fee will be held until June 1st. It will increase by $25.00 if paid after June 1st and by $50.00 if paid after October 1st. All balances must be paid in full by October 15th to ensure your spot, especially in the case where there is a waiting list in your category. Unless paid in full, a slot will be open to other vendors in your category (limit 6). Checks will not be accepted after December 15, 2013, cash or money orders only. Bridal Expo cannot process credit card payments.

11.  Vendors that break down their booth before the end of the Expo will be fined $50.00

12. Vendors are responsible for tickets sold at their business. Money collected from ticket sales needs to be

paid by January 15th.
