1.Introduction to the 3rd COTSWOLD NAVIGATION RALLY

Essentially, this event is all about DIY Navigation on the Hoof, from Check Point to Check Point, using an Ordnance Survey 1:50,000 map. Each rider’s route, in total, is unique. Each Check Point, with the help of a Check Card, indicates the next Check Point to visit.

Purely as a means of tie-breaking, entrants are invited to participate in a Quiz after the ride: the Quiz questions (and answers) are supplied by the riders, at the time of entering the event.

The (voluntary) submission of a question and answer is referred to as Element I: the Riding part is Element II, and the Quiz is Element III.

As before, the Cotswold Weekend is to be based at the Cotswold Farm Park, near Guiting Power and Kineton, in Gloucestershire.

Please note that the Holiday / Touring Week, to follow the Cotswold Weekend, is also to be based at the Cotswold Farm Park.

2.INVITATION

2.1.The Cotswold Section of the Vintage Motor Cycle Club is pleased to invite members of the VMCC to take part in its 23rd Cotswold Weekend on 1st, 2nd and 3rd July 2011.

2.2.This invitation is also extended to non-members of the VMCC provided they take out one-day membership of the VMCC, see Entry Form for details.

2.3.The Cotswold Weekend is a three-day event comprising social and motorcycling activities. Participants may choose to take part in as few or as many of these activities as they wish.

2.4.The riding events are open to drivers of VMCC-eligible (pre-1987) machines.

2.5.The principle motorcycling activity of the Weekend is the 3rd Cotswold Navigation Rally on the Saturday. Although it is the intention that each driver should navigate alone, drivers who wish to drive together may do so at a Penalty (see Regulation 11.6.2.6). They should submit their Entry Forms together, and ensure that the Secretary of the Meeting is aware of their wishes.

5.VENUE

The Weekend is to be based at the Cotswold Farm Park, Guiting Power, Cheltenham, Gloucestershire (map reference 163 / 113 267) which is situated off the Andoversford to Stow-on-the-Wold road (B4068), about 5 miles NW of Bourton-on-the-Water.

6.ELIGIBILITY

6.1.The events are open to members of Clubs specified in Regulations 2.1 and 2.2 driving solo and sidecar motorcycles, tricycles and three-wheeled cyclecars manufactured before 1st January 1987.

6.2.VMCC members must produce their VMCC membership card when they sign on for these events.

7.ENTRIES

7.1.Entries will be received forthwith on the official entry form accompanied by the correct entry fee and must reach the Secretary of the Meeting no later than 15th June 2011.

7.2.Entries will be limited to a maximum of 50 machines.

7.3.Acknowledgements of receipt of entry will be sent to entrants who supply their email addresses, and to other entrants whose entries are received accompanied by Stamped Addressed Envelopes.

7.4.In the case of the Driver or any Passenger being less than 18 years of age on the date of the event, permission to participate in the event must be given by the parent or guardian of the Driver and / or Passenger concerned. The Parent or Guardian must complete a Parental Agreement Form, which may be obtained from the Secretary of the Meeting, and return the completed form to the Secretary of the Meeting. Failure to do so will result in refusal of the entry.

7.5.Cheques and Postal Orders should be crossed and made payable to VMCC (Cotswold Section).

7.6.Entry fees will be returned only in the event of abandonment or postponement of the event.

8.LEGAL REQUIREMENTS

8.1.Drivers and machines must comply with all legal requirements including display of a current Road Tax disc.

8.2.Drivers should ensure that their Insurance cover is valid for this type of event.

8.3.Drivers may be required to produce proof that they comply with the legal requirements at any time during the events.

9.ACCOMMODATION

9.1.Bed and Breakfast accommodation is available within easy reach of the Cotswold Farm Park. Please indicate on your Entry Form if you require a list of such B & Bs.

9.2.The Cotswold Farm Park has an approved Caravan and Camping Site. The Rally Field (at the back of the ‘ordinary’ field) has been booked for our occupation from Friday afternoon onwards. Prices will be £9.90 per pitch per night. The Rally Field has no electrical hook-ups: anyone requiring one, price will be £15.00 per pitch per night, is advised to contact the Farm Park direct, on 01451 850307, to book into the ordinary field. Please bear in mind that this field can be well-booked on summer weekends, and that there are no hard-standings anywhere.

9.3.The nearest petrol stations are at Bourton-on-the-Water and Stow-on-the-Wold, both about five miles away. There are also various food and drink shops at these places.

9.4. Evening meals can be made available at the Farm Park if there is sufficient demand (20 settings minimum) at reasonable cost. Diners there are also welcome to supply their own beer and wine, etc.

9.5.Alternatively, the Half Way House at Kineton (01451 850344) serves good food and can be reached on foot via a footpath, a lane, and a ford, in about 25 minutes.

10.FRIDAY GATHERING – 1st July 2011

This will be entirely informal, and will consist mainly of the setting-up of many tepees in the rally field, and of re-establishing old friendships. A trip to the Half Way House / the ignition of a fire-basket / the making of music into the night will not be excluded.

11. NAVIGATION RALLY – 2nd July 2011

11.1.Announcement

11.1.1.The Cotswold Section of the Vintage Motor Cycle Club will hold, on Saturday 2nd July 2011, a Navigation Rally.

11.1.2.The event will be known as the 3rd Cotswold Navigation Rally and will be run under VMCC Permit Number 2011 / 364.

11.1.3.This Navigation Rally is a scatter event in which drivers will search for a series of Check Points, defined by six-figure locations, all on O.S. Sheet 163.

11.1.4.Drivers will supply their own OS maps and any other navigational equipment they like, except Sat-Nav or other electronic guidance systems. A Check Card will be supplied to each driver at the Start.

11.2.Clerk of the Course: Mr Paul Button

11.3.Entry Fees

11.3.1.The Entry Fee covers participation in the Navigation Rally, a Ploughman’s Lunch at the Lunch Stop, a Souvenir Badge and, for Drivers, a Starters Pack containing all relevant papers.

11.3.1.1.The Entry Fee for Drivers is £15.50.

11.3.1.2.The Entry Fee for Passengers is £9.00.

11.3.2.The cost of additional Lunches is £6.00 each.

11.3.3.The cost of additional Souvenir Badges is £3.00 each.

11.4.Description. The Event comprises three Elements.

11.4.1.Element I consists of the (voluntary) submission of a Question-and-Matching-Answer by each Entrant to be returned, sealed in the envelope provided, with his / her Entry Form.

11.4.1.1.Suggested subjects for Questions are Vintage Motorcycles and Motorcycling, but the sky is the limit, and humour is not disallowed.

11.4.1.2.For points scoring associated with Element I, see Regulation 11.6.1.

11.4.2.Element II is the Riding element.

11.4.2.1.25 (unmanned) Check Points have been selected within the following limits of O.S. Sheet 163: Eastings 970 to 170, and Northings 030 to 290. (This area includes the Start and Finish Point at the Cotswold Farm Park, ref. 113 267).

11.4.2.2.At the Start, each driver will be issued with a Starters Pack, which will contain the following papers: a Check Card, a Panic Envelope (sealed), a Lunch Ticket, a Machine-Number Card, and a Programme.

11.4.2.3.Of these, the most important item is the Check Card. This document will provide essential guidance information to each driver, and record his / her progress through a set of 15 of the Check Points, noting that each set is individual to that driver.

The Check Card is an A4 card, folded to provide 4 pages of A5 size.

Page 1 carries a location table of all 25 Check Points, and the Start / Finish. The location of the lunch-stop Check Point is indicated, and also the First Check Point to be found by each driver.

Pages 2 and 3 carry two questions to be answered at each Check Point. The first is principally to permit positive identification of that Check Point, and the second will yield a two-lettered Code, unique to that Check Point.

Page 4 carries a two-column table. The first column consists of the two-letter Codes of all of the Check Points, in alphabetical order. In the second column, opposite each Code, is the driver’s Next Check Point To Be Found. An additional column is provided as a matter of convenience, for the jotting down of Next Check Points, as they come up.

11.4.2.4.The Panic Envelope contains a driver’s whole Individual Route: it should only be opened if the driver becomes lost.

11.4.2.5.The Machine Number Card should be displayed on the front of a machine, and should be removed immediately after the Finish.

11.4.2.6.All being well, each driver will arrive at the Finish, as his / her fifteenth Check Point, after a total route-length of about 65 miles. Unopened panic envelopes and Check Cards should be surrendered at the Finish.

11.4.2.7.Timetable:

Signing-on / Issue of Starters Packs: 09:15 to 09:45 hours.

Briefing by Clerk of the Course: 09:45 hours.

Start Time: 10:00 hours.

Recommended duration of lunch-break: between 1 and 1¼ hours.

Penalty-free Finishing Window: 15:00 to 16:00 hours.

11.4.2.8.For points scoring associated with Element II, see Regulation 11.6.2.

11.4.3. Element III is a Quiz, purely for tie-breaking (if required) of the Element II results, and consists of the questions submitted in Element I.

11.4.3.1.Quiz sheets will be offered to drivers at their return to the Finish, or after a break if desired.

11.4.3.2.Time allowed for the Quiz: Five minutes, plus ½ minute per question.

11.4.3.3.For points scoring associated with Element III, see Regulation 11.6.3.

11.5.Machine Bonus Points

Entrants will be credited with machine bonus points as shown below. It is the responsibility of the Entrant to ensure that the correct Bonus Points are claimed on the Entry Form.

11.7.3.Each team must nominate a captain who will be responsible for the return of the team award in due course.

11.7.4.No driver may be a member of more than one team.

11.8.CLASSES

11.8.1.Veteran machines manufactured before 1st January 1915.

11.8.2.Vintage machines manufactured between 1st January 1915 and 31st December 1930.

11.8.3.PostVintage machines manufactured between 1st January 1931 and 31st December 1945.

11.8.4.PostWar machines manufactured between 1st January 1946 and 31st December 1960.

11.8.5.Post1960 machines manufactured between 1st January 1961 and 31st December 1986.

11.10.Ties - Classification of Drivers’ Performances will be decided, in the first instance, by the results of Regulation 11.6.2. In the event of a tie or ties, tie-breakers will be applied to Individual Drivers and / or to Teams in the following order:-

11.10.1.The greater points score(s) from Element I plus Element III, see Regulations 11.6.1 and 11.6.3.

11.10.2.The greater age(s) of machine(s).

11.10.3.The smaller capacity(ies) of machine(s).

11.10.4.The lower Machine Bonus Points.

11.11.Hints for the eventuality of adverse weather

11.11.1.Wind and / or rain make the deployment of an O.S. full-sheet map difficult. However, the part of Sheet 163 actually needed for this event is much less than the whole, see Regulation 11.4.2.1. It is suggested that this section be cut from the sheet, and perhaps treated with some sort of water-proofing. (The section can always be sellotaped back into the sheet afterwards).

11.11.2.Another, or additional, strategy would be to mark-in all 25 Check Point locations at the Start, within a weatherproof shelter. Time wasted on marking-in 10 Check Points too many, could yet prove well-spent.

11.11.3.Provision of a roomy weatherproof satchel, from which papers can easily be removed or replaced, could be helpful.

11.12.Western Region Road Trials Championship

The results of the Navigation Rally count towards the 2011 VMCC Western Region Road Trials Championship.

12.SATURDAY EVENING GATHERING - 2nd July 2011

12.1.This will consist, subject to demand and availability, of a Dinner in the Farm Park Restaurant. Entrants desirous of attending this function should indicate the number of meals required on their Entry Form. Payment will be directly to the Farm Park: a guide price is £12.00 for a two-course meal. Diners may bring their own beer and wine, etc.

12.2.Assuming good weather, an impromptu party on the rally field is a distinct possibility.

13. SUNDAY SOCIAL RUN - 3rd July 2011

13.1.A 70-mile Social Run will be organised on Sunday 3rd July 2011 and will be run under VMCC Permit Number 2011 / 365.

13.2.Clerk of the Course: Mr Robert Rendell.

13.3.The run will start from the Cotswold Farm Park at 10:00 hours.

13.4.There will be a Lunch Stop on the Social Run where a range of Snacks and Bar Meals will be available.

13.5The entry fee for the Sunday Social Run is £2.00.

14. TOURING HOLIDAY - 4th to 8th July 2011

14.1.A Touring Holiday will be held between Monday 4th July 2011 and Friday 8th July 2011 and will be based at the Cotswold Farm Park.

14.2.The Touring Holiday will consist of daily runs, each starting at 10:00 hours (unless otherwise announced) to places of local, or further afield, interest.

14.3.Please indicate on your Entry Form if you are interested in participating in the Touring Holiday.
