Attucks Middle Property and Inventory Action Plan 2015/2016
1. Attucks Middle School will utilize the District Property Audit Utility Database. Mr. Sudore (Micro Tech) will begin in March 2015.
2. Obtain a PNI811 download for reconciliation with database. Obtain via e-mail from Lorena Widgeon - ET. Mr. Sudore to do at beginning of every month.
3. Run a serial number discrepancy report and reconcile with appropriate paperwork. – Mr. Sudore to conduct this quarterly. This should be an ongoing process. Keep operations ongoing throughout the year.
4. Reconcile download with database after new purchases, transfers, B-Stock, and losses. Mr. Sudore is to begin immediately and collaborate monthly with Mrs. Rosario (Budget Keeper), and Mr. Gurreonero. In the event of a loss or theft Mr. Sudore will inform Mr. Evans, Mr. Gurreonero, and go to the SRO to utilize district procedures for loss and theft.
5. Post room Inventory list - Mr. Sudore will spot check quarterly door inventory sheets and compare items listed to items that are physically in room.
6. Mr. Gurreonero will complete monthly random room checks documented by an administrative signature. Mr. Gurreonero and Mr. Sudore will use this process throughout the year quarterly.
7. Complete physical Inventory. Mr. Gurreonero, Mr. Sudore will lead inventory team to do complete school wide inventory. – First, second, third, and last quarter of each school year.
8. Establish and keep up to date Property Audit Binders following the Table of Contents document from the office of the Chief Auditor, Property Division. Binders to begin with all property and Inventory Property passes signed by the principal. Label binders and store in an area for the auditor to review at anytime.
9. Identify persons responsible for inventory and areas of responsibility. Mr. Gurreonero and Mr. Sudore will set up Property and Inventory Committee. The members of the committee will include attached list and Mr. Sudore will ensure the team will meet monthly.
PNI Team - Mr. Sudore, Marie Powell (SRO), Mr. Joseph (Head Custodian), Michael Jean (Athletic Director), All Department Heads, Mr. Gurreonero (Assistant Principal), Ms. Borro (Media Specialist), Mr. Chandler (Security Specialist).
10. Delineate in-house process and form for equipment move. Include process in faculty handbook, and on Cab.
11. Mr. Sudore will create a Property and Inventory move form.
Mr. Sudore will report on updates in writing each week on progress made in each area above. Reports will be relayed to Principal Evans through this chain of command.
