Counseling Division Meeting Minutes

November 19, 2015 – 9 am to 11 am

Meeting was called to order at 9:15 AM.

  1. Thank you to Marianne, Elisa, Charles, Ana & Eric for hosting today’s meeting.
  2. Winter 2016 Counseling Division Training (survey)

Eric passed out survey on Winter 2016 Counseling Division Training put together by Adrienne, Eric, Marianne and Amy to be collected after the meeting

  1. Department Reports: Articulation, Career Center, Harbor Advantage, Honors, Puente, Transfer Center, Umoja, etc.

Advantage – Registration will be on November 20 and 21. Dan asked for counselor volunteers to help register students for Advantage. They

will need help with scheduling, not educational planning.

Outreach – Dan announced a new rule for high school students: if student passes senior level English, he/she can waive the English part of assessment. This is also true for Math. The student can waive assessment and go directly into college math if he/she passes a high level Math. Dan will have a flier at a later date showing the chart for the course levels. However, since this is a new rule, Dan will still look into it. Dan mentioned that the CSU system is honoring this condition and therefore community colleges must honor it too. Mica suggested that Dan ask Ann Warren, Farrah and Mercy. Dan mentioned that Jenny will assist with assessment dates with high schools.

Honors – Yvonne announced the Spring classes offered for honors and conditions in which counselors can assist students in the Honors Program in her two week absence.The dates and times are set and Yvonne will verify if the students are in honors classes when she returns.

School on Wheels event - Yvonne mentioned that it is accepting school supply donations before November 24.

EOPS – Kaman mentioned that EOPS is accepting EOPS applications till December 1 but students must be eligible before

submitting their applications.

Puente – Jassiel announced the Puente English 101 registration dates and times.

  1. Committee Reports: Academic Senate, Curriculum, FHPC, FLEX, Grants, Student Success Coordinating Committee, Work Environment, Distance Education, CTE, Assessment, HTPA, etc. – For next meeting.

Quarterly Budget Update (Expenditure Update) connected to data analysis by AOC component

SSSP Staffing Update (FHPC, HR, Budget Committee and CPC Approval) and Hiring Process for Winter/Spring 2016

 Assessment (Transition from ACT COMPASS to College Board Accuplacer) + the Noncredit changes + the math faculty request

to participate as a pilot college in the Multiple Measures Assessment Project (MMAP)

Professional Development opportunities

Jenny introduced herself. Mercy answered some counselors’ questions on matriculation issues.

Mercy passed out a report “Service Contact” from DEC data, done internally. The report shows all instances of DEC contact with a student such as SEP, assessment, orientation. Some suggestions for contact: Drop In, Career/Job. There was discussion on how to increase the numbers and get credit for data that deserves to be included. Also, there was a question about DEC and SARS not being able to share data.

Mercy discussed the development of Policies and Procedures for Assessment Center, adjunct positions, campus deficits impact

on counseling, assessment and orientation. She also asked for input on assessment room conditions, compliance and other

assessment concerns.

Discussion on V: Drive- Counseling Folder, procedures to access. It was agreed that counselors must log in to access V Drive

and no access allowed to student workers.

Joy asked staff to choose an off campus location for Christmas meeting on December 10 and asked a price for gifts. It was decided to hold it at “Los Tres Cochinitos”, gifts at $25 and 23 staff possibly going.
