Instructions & Information for Field Trip Registration

  1. Read the trip descriptions in the Field Program available online.
  1. For students (if you are not a student, please proceed to step 3):You have automatically been registered in the required Field Labsassociated with your courses . Review your field lab schedule and keep it in mind when planning your time in port.
  1. Decide which trips you would like to attend in each country and select them on the Trip Request Form, located in the My Documents section of My Voyage, or through the online system.
  1. Registration Deadlines and Lotteries: Our goal is to accommodate as many of your trip requests as possible. If demand is high for a trip, we will try to request more space from the tour operator. However, some trips do have space constraints such as overnight trips with hotel and airfare or service visits with facility limitations. If a particular trip has a registration deadline, it will be clearly noted in the Field Program. If a trip is oversold and we cannot obtain more space, we may run a random, computer-generated lottery to determine who is“bumped” from the trip. Therefore, please list alternate choices where a similar trip may meet your interests in the space entitled “Alternate Selections” either online or on the Trip Request Form. In the “Alternate Selections,” only list trips that you definitely want to attend as you may receive an alternate choice as a result of a lottery.
  1. Submit your Trip Request Form.
  1. Electronic Submission: If you are paying by credit card (MasterCard, Visa, Discover or American Express), you may electronically submit your selections and payment information. Simply log-on to the “My Trips” section of your “My Voyage” page at Be sure to double check your selections; once you hit the payment submit button, your credit card will be charged. Please note the following:
  1. For the online process, remember to include your alternate choice(s) for each trip selection.
  2. Verify that your trips do not overlap.
  3. Upon completion of the online process, your credit card account will be charged immediately, and you will receive an automated e-mail message confirming that your registration was processed. Your registration is not complete unless you receive a confirmation e-mail. If you do not receive a confirmation e-mail, please contact the Semester at Sea Field Office the next business day during normal business hours (9 a.m. – 5 p.m.) to verify your registration status.
  1. Mail or FaxSubmission: If you are not registering your trip selections electronically, you can submit your completed Trip Request Form and payment for selected field tripsby fax to (434) 243-3345, or by mail to the Semester at Sea Field Office as soon as possible. (You may wish to make a copy for your records.)

Please note the following:

  1. Indicate your choices by circling the trip codes on the Trip Request Form. Since many trips operate during the same time span, please be certain your choices do not overlap with one another.
  2. When paying by check or money order, please make the funds payable to the Institute for Shipboard Education (not Semester at Sea). Payment should be made for the total amount of the trips that you have circled as your first choices on the Trip Request Form. (Do not include payment for alternate choices.)
  3. No verbal requests will be accepted.
  1. All sales are final. We must reserve spaces with our agents prior to sailing. Hence, no refunds can be guaranteed if you decide not to attend a trip in which you have registered.
  1. Overnight trips require a valid passport number for each participant at the time of booking. It is critical that you verify your passport information appearing in the “My Profile” section of your “My Voyage” page.

Confirmation that Your Trip Request was Received

Once you have submitted your Trip Requests, you may verify that this information has been processed in our system. To do so, please check the “My Trips” section of your “My Voyage” page. If processed (i.e., submitted electronically, by fax,or by mail), your “Trip Request Form” status will change from “Waiting” to “OK-Received.”If there is a discrepancy, contact the Semester at Sea Field Office (800.854.0195).

Confirmation of Your Reservations

Confirmation of your trip selections will be posted on your “My Voyage” page on May 26. Check whether you were placed on the trips you had selected. If there is a discrepancy, contact the Semester at Sea Field Office.

Refunds and Balances Due

If you are bumped from a trip or registered for an alternate choice, your confirmation may indicate an overpayment or underpayment. If your account is overpaid, a credit will be applied to your shipboard account. If your account is underpaid, the amount due may be collected during voyage check-in.

Early Booking Rate

The Early Booking Rate will be valid through midnight on June 8. At this time the online trip registration will be closed
