Directory Hold/Consent for Access

Studentshave the option to restrict directory information, as well as allow others to access their academic information. This guide will assist you in understanding what these two options look like in PeopleSoft.

Directory Hold:

  • The FERPA “window shade” will only appear on the student center page if a student has given the University Registrar’s Office instruction to restrict directory information that is normally releasable.
  • Clicking on the window shade provides links for information that is releasable.

  • Clicking on these additional links will then show you exactly what can be released for the student. Only the information that is displayed within the Bio/Demo Data box and the additional links can be released. All other student information may only be released with proper consent from the student.
  • If a student has not indicated that they wish to restrict any of the FERPA releasable information, they will not have a FERPA window shade on the student center.
  • To find a students releasable FERPA information, you can also navigate to:

Campus Community>Personal Information>Biographical>Person FERPA>Review FERPA Display

  • The following is a list of Directory (releasable) Information when a student does not have a Directory Hold:

Student Name

Addresses: Local, Permanent, and ASU email

Local Telephone Number

Date of Birth

Degrees, Honors, and Awards Received (including National Merit, National Achievement, and National Hispanic Scholars)

Academic Level

Major/College

Dates of Attendance

Participation of Officially Recognized Activities/Sports

Weight/Height of Members of Athletic Teams

Most Recently Attended Institution

  • HINT: If you don’t want to look both places, you can go straight to the “Review FERPA Display” page.This page will only show what is releasable and does not display information that cannot be released.

Consent for Access:

  • Consent for Access enables the student to grant permission for another person to have access to the student’s records.
  • When Consent for Access is granted a Positive Service Indicator will appear on the StudentCenter page.
  • Clicking on the Positive Indicator will display what the indicator is for. If the student has granted Consent for Access, the following information will appear:

Campus Community>Comments>Comments-Person>Person Comments Detail

Consent for Access-Rescind:

The student also has the option to rescind any Consent for Access previously given. The Person Comment Detail page will display the rescinded information
