Booking Terms and Conditions

1.  In order for sponsorship package(s) to be held a booking form must be completed and returned to the Organisers together with a purchase order.

2. Receipt of applications for all packages will be acknowledged and confirmation of acceptance for specified packages will be issued in due course.

In the event of a specific package being oversubscribed, allocation will be based upon the relevance of the product(s)/service(s) to the theme(s) of the event and the anticipated interest of delegates.

3. Presentations/Workshops – a brief synopsis of proposed presentations/discussion points and speaker/leader details must be submitted in writing as part of your booking confirmation.

Final presentations must be submitted to the SBL Events Team at least 10 working days prior to the event taking place.

4. All speakers must participate in pre-event speaker/leader discussions and briefings as appropriate to ensure they fully understand and support the ethos and messaging of the event/stream.

5. Invoices will be issued upon receipt of your confirmation/purchase order. Payment terms are strictly 30 days from date of invoice unless the event is due to take place within less than 30 days in which case payment must be received prior to the date of the event.

Non-payment by the due date may result in cancellation of your booking without any further notice.

6. Promotion/Publicity – All collateral, text and images must be received by the dates specified. Failure to meet these deadline(s) may result in your company being excluded from any promotion/publicity opportunities offered as part of the package(s).

7. Exhibition Set-up – Set-up times will be as detailed in the exhibitors’ joining details and stands must be fully set-up prior to registration commencing. Maximum size for a single stand is 3m x 2m. Maximum height will be advised according to the venue.

8. Exhibition Breakdown – Times for dismantling will be supplied in due course and exhibitors will not be allowed to dismantle or remove their displays until the time stated.

9. Networking Dinner – All Exhibition stands must be manned during the drinks reception prior to the networking dinner.

10. Attendees – Names of those attending with the stand must be notified to the SBL Events Team at least 10 working days prior to the event taking place.

The number of attendees allowed will be subject to the package(s) booked.

11. On the Day – All attendees must register in person at the Registration Desk.

12. In the event of a sponsor withdrawing from the event, full payment will be required.

13. If the event is cancelled, postponed, abandoned or re-located for causes outside the Organiser’s control, the Organiser accepts no responsibility and shall be under no obligation to refund any monies to the exhibitor.

14. Exhibitor’s Insurance - Each exhibitor exhibits entirely at their own risk and the Organiser shall not be responsible for any loss or damage to exhibits or other property.

15. Whilst a full promotional and publicity campaign will be undertaken by the Organiser, no level of attendance is guaranteed
