Questions for Library Media Specialists Inservice – 9/24/02

  1. Form 6799. "Basically, these forms are supposed to be sent to Human Resources and then they go upstairs to LIS. They don't seem to get there. What I have been able to figure out is that the forms first go to Shelia, Sheila transfers them to either Alma or Kay, and then they are supposed to go to Sue Lynch who then gives them to either Gary or Stan. Needless to say, the person who needs to get them to finish the service request for teachers new to the building who need to get to their class lists ASAP on SIS and have their mailbox set up doesn't get them and then I have to re-fill out the service request. Crazy. A solution: would it be possible to fill out those forms twice and send a copy immediately to Sue Lynch and another copy to Human Resources? All I know is the original copy is floating out there somewhere at ASC. Anyway, the problem is that we never know when LIS receives the forms from Human Resources. I recently got back several replies from Gary saying some of my tickets were considered CLOSED because he had not received the 6799 form and therefore could not process my requests. I assume that means I have to resubmit my requests for all of these teachers. Not only is this additional paperwork (electronic) for me, but I don't know when LIS will receive these forms as they are sent first to HR. It's a little frustrating and I'm not sure of the solution. The end result with the current system is that I have several teachers who have filled out these 6799 forms and still cannot access their class lists, or their names (due to name change) have not been corrected, etc. They ask me why I haven't filled out a service log request and I tell them I have but the request is now closed and I will need to resubmit when I find out LIS has received the 6799 form which I never know when they receive it." - Terry Toppler

Follett import of names, etc. "It seems this year (at least for my building . . . maybe everyone else got their Follett Patron Room #s and User Field 1 loaded ok) that the User Field 1 and Room # field do not have the correct data when it was imported. I talked with Judy and she gets the Patron updates from Kathy Church at AEA who pulls it from SIS. I then talked with Kathy Church about the incorrect information that came into our Follett System for Room # field. Intermediates imported as asteriks and elementary imported with wrong room numbers, even though I checked and they are correct on SIS when I looked. Kathy said she has no time to create a program that would correctly pull the information that is needed. I told her that last year it worked well. She said they had another person at AEA that exported the patron information from SIS and she is gone and no one at AEA knows ow she did it. She also said she was only given 2 days notice to export data. I said well, I know we'll need this information next year and would she consider looking into it sometime this year in preparation for next August. She wasn't too sure as she is understaffed and has been field a lot of general calls (not media, but from teachers) about SIS from our district since Ron is gone. I asked if SIS had any company support that could assist. She said the company only gives support if you pay them. So . . . I don't mind handtyping over 600 student Room #s and User Fields (we need this to run overdues). But since the information is on SIS and I assume it can be pulled out somehow . . . maybe there's a way to figure it out??? Sure would save hand-entering. I would be curious if everyone else has encountered this problem." - Terry Toppler
  3. TrackIt - Do you have any idea when the Trackit work orders will be handled? I have four staff members who ask regularly when their computers will be fixed and all I can give them is a work order number. Is there a schedule for buildings or are the techs going down the list numerically, going from place to place? - Sherry Roberts
  4. TrackIt - How do we know when jobs recorded on trackit have been completed? Sometimes a Tech contacts us, othertimes not. - Rosanne Krubsack
  5. Budget: Who pays for what - What is the status of UPS upgrades on building computers and labs? Do we need UPS units on the "custodial closet" hardware? Whose responsibility is the purchase of these units? How about the replacement batteries? - Rosanne Krubsack
  6. IAUA - If Preschool - grade 5 students use only preselected internet sites, must a signed AUP still be on file each year for each student?
