Job Title:Housing Assistant

Reports to:Housing Coordinator

A.PURPOSE AND SCOPE

The Housing Assistant performs and/or oversees a variety of associated administration, staff support, and planning activities. Some of which require advanced or specialized knowledge and skills such as, equipment, facilities, inventory or database management, and/or specified information-gathering projects and tasks. The assistant also assists in the coordination of meetings, program functions, and/or special events, as appropriate. The assistant will provide operational support to the Housing department when required.

B.QUALIFICATIONS

The Housing Assistant is a role that demands excellent communication skills and experience. This role requires a detail oriented and focused individual.

In this role, the Housing Assistant must have and portray a positive outlook and demonstrate dedication and patience. Their caring and compassion in working with the community will be a positive asset.

Education and Experience

The Housing Assistant shall possess:

-Grade 12 education with a minimum of two (2) years administration experience in a fast-paced office setting

-Computer Knowledge and Data collection

C.DUTIES

The Housing Assistant shall, in every aspect of their position:

-Enhance operational efficiency within the housing department

-Have an operational data management process in place

-Ensure the First Nation meets and delivers financial obligations in a timely manner

-Promote the Atikameksheng Anishnawbek’s Vision and Mission Statements

-Maintain the level of professionalism expected by the Atikameksheng Anishnawbek as outlined through the Policies and Procedures manual

Department Support and Coordination

-Analyze incoming and outgoing memoranda, submissions and reports, prepare and coordinate the preparation and submission of summary briefs and reports to the Housing Coordinator

-Ensure knowledge of all administrative policies and procedures

-Ensures smooth flow of communication within the Community Planning and Infrastructure Department

Communications

-Greet visitors, ascertain nature of business and direct visitors to employee or appropriate person

-Answer telephone and electronic inquiries and relay telephone calls and messages

-Liaise with departmental managers and with other organizations and associations on behalf of the Housing Coordinator or Public Works Manager as requested.

-Prepares outgoing communications from the Housing Coordinator to community members

-Prepare correspondence and response to all requests for release of information

-Research/gather information for community requests and provide appropriate responses for all requests.

Administrative

-Provides administration support to the Housing Coordinator and staff

-Draft and edit correspondences on behalf of the Housing Coordinator and/or the managers of Community Planning and Infrastructure Department

-Responsible for preparation, receiving and delivery of correspondences to and from the Housing Department

-Ensure all purchase orders and cheque requisitions, related to the Housing Department, are processed and filed properly

-Streamlines and coordinate responsibilities within the housing department

-Prepare correspondence with all subcommittees for the Housing Coordinator

-Updates Rental Arrears/collections data for all rental properties

-Acquire knowledge about financial obligations under various housing programs

-Complete initial housing inventory, data entries and prepare papers reports as required.

-Update books, records and tenant files
