The Our Lady of Grace School PTG group met on January 17, 2017. Meeting minutes are available now in Lion’s Tales. We would like to invite all parents to our upcoming PTG meetings – we meet the third Tuesday of every month from 7-9pm in the science room in Augustine Center. Our next PTG meeting will be in February 21, 2017. No need to RSVP, just come and get involved!

Meeting called to order at 7:00PM with prayer.
Secretary’s Report (Paula Pita and Angela Moran)
Agreed that process for meeting notes going forward will be:
Meeting minutes get circulated and approved at the following months meeting, then posted after that. This creates a one month lag in the notes being posted, but they serve an archival purpose and all agreed this was acceptable.
November meeting minutes approved by a vote.
Principal’s Report
· Catholic Schools Week/Open House (January 29th)
o Mrs. Anderson will have badges for PTG members
o PTG table outside stack
o Kids who wear sweatshirt to mass will get free dress on January 30th
o Focus : What do Catholic Schools do better/different than public schools (that are tuition free)
§ Benefit: Student teacher ration with Teacher Aides
§ We have a unique program among Catholic schools with aides, and math instruction support
§ In house workshops for students: Walk Through Ancient World, Walk Through American Revolution
o Grandparents/Special Friends day will be different. Invitation to come to mass with kids, then coffee and donuts, and kids will perform. Event will be earlier than in past because of morning mass.
o OLG alumni coming to talk to kids in upper grades about what it is like to go to public and Catholic high school.
· In Parish Families
o Father looking for attendance, not dollar amount donations
o Encouraging all kids to come (regardless if they are parishioners)
· Father Paul will be visiting classrooms to discuss mass. He is interested in more child friendly liturgies and looking at First Communion programs.
· WASC Accreditation team
o Teacher’s working on making vocabulary of Core Values align with WASC survey/questions
o March 2018 is WASC 3 day visit
o Need PTG members to fill out survey for WASC
o In service staff day in January was to discuss WASC
o Team comes to look at what school is doing and if we can do it better. Analyze data from testing to drive curriculum forward (look for areas of strength, improvement, etc)
Commissioner’s Reports:
President’s Report
Christmas Program
· Well received
· Noted that Christmas decorations were not up in the Church
· Next year we will set up round tables throughout the room and with tables in the middle, broken up into two
· Need a volunteer to head the event
· Event will be in Stack hall
· Next year- make the event nut free
· At the end of mass we need an announcement about how things will run at Tree Lighting in Stack
· Cover food so nobody eats until after blessing
· A-L families are savory M-Z are sweet
Events that need Chairperson and Committee (events not assigned to a class)
· Family Dance
· Tree Lighting
· Light Parade
· Auction
o Need job descriptions written up for chairing each of these events
o Sign Up Genius
o Committee for each event
o What are benefits to parents who sign up? Number of parent hours etc.
o Angela Moran volunteered to coordinate to gather all of this
o Communication sent out letting parent’s know these positions are available (first check with current chairs to see if they want to chair their events again next year)
o Add rule so that chair has option to be chair two consecutive years. If nobody else steps up they remain chair, but if someone does volunteer it would be two year maximum.
Spelling Bee
· Was a success
Vice President’s Report
· VP thanked parent volunteers for recent school events that required volunteers
· Holiday Shop – Will we do this again next year using the same vendor?
o Children spent $3,587.95 and 20% of sales went back to school.
o Will stay as a 3rd grade and Kindergarten run event
· Suggested that class run events (book fair, holiday shop, etc) are run by consecutive grades so that every year one of the classes running the event has experience from running the prior year (ie. TK/K and 1st together, 2nd and 3rd together, 4th and 5th together, etc)
Fundraising Report
· Wrapping paper Fundraiser was a success - $2,685.05 profit. Easier and equally profitable to See’s candy fundraiser.
· Fun Run coming up in February
· See’s candy has a Spring fundraiser for Easter chocolate we could do in March. Option with 5 items only would be simple.
· $717.59 profit from Holiday shop went to school
· Poker night will be put on the Saturday night of the School Festival
Publicity/ Auction Report
o Lucy Webb helping with Auction baskets. Each class will be assigned a theme for their basket.
o Class with most parents that come to auction will get a prize
o Idea to purchase an entire table (round tables). 10 people at a table. Table is $250. One check for $250 and you list who is at your table. Or $30 a person. This price includes dinner as in the past.
o Will continue with dessert dash.
o Auction tickets will be for sale online. You can buy tickets to event and view auction items there.
o Sponsors for program this year ($50 per ad). Ad money will support the program printing costs.
o Childcare talks. 5 years old and up only. Pizza /drink dinner. There will be a limit to number of kids attending and you have to reserve your childcare spot in advance. $20 per kid/ suggested cost scale for multiple kids. Working on finding someone to run the childcare.
o Many auction donations pouring in already
o Need check out volunteers. These people need to come and learn the programs and 2 people minimum are needed.
o Class baskets due by the end of April (April 13)
o Class projects are welcome for the auction, but funds for the basket should not be used for the projects
Spirit Commission Report:
o Hot cocoa in December
o Movie/Roller skating night did not go through
o Popsicle day in June
o Looking into possibility of doing Skate night. Yvonne Wong to look into options. Bowling or Golf other options for fun event.
