Payroll Cycles

Relevant Training/Discussion Highlights: / Identified all payrolls that are processed during the year and what types of employees are included on each payroll. (see pay calendar spreadsheet)
  • Monthly payroll includes all employees except hourly (Grad assist, Fitness Cntr, etc.) and is paid on last day of month for the month.
  • Supplemental payrolls are processed monthly and include hourly, overtime, and any adjustments (ex. new employees starting after monthly payroll is processed.) This payroll is paid around the 10th of each month.
  • Student payrolls are processed monthly for all student workers. This is paid around the 10th of each month.
  • Adjunct/Overload payrolls are processed twice each semester (fall, spring, and summer). These are paid on the last day of the 8 week sessions (4 weeks summer).
  • Speech Camp payroll is processed once during the year in July. All these employees come from the same labor distribution.

GAPs Identified: / No lag time on regular payroll as we process it now. This leaves the possibility for paying people incorrectly.

Other Issues and Concerns: / Ken and Ninette need to discuss possibility of creating lag time in payrolls, possibly paying monthly from the 10th to the 10th or paying classified bi-weekly.

Leave Reporting

Relevant Training/Discussion Highlights: / Discussed current method of tracking and reporting leave.
  • Classified employees report leave monthly on timesheets.
  • Admin/Faculty report leave on leave forms
  • Payroll enters leave into system in month after it is taken (ex. August leave is charged in September.)
Banner can separate leave from payroll. Banner can use overage “buckets” to help identify LWOP.

Cameron limits use of family sick leave to 72 hours per year. Banner will track family sick leave but will not automatically use vacation leave when this is used. We will need to adjust this manually as we do now.
Banner will track FMLA time.
