JOB TITLE: Event and Campaign Co-ordinator (Raising Awareness)

LOCATION: LOROS Hospice, Groby Road, Leicester

HOURS OF WORK: 15 hours per week, worked flexibly

REPORTING TO: Marketing & Communications Manager

JOB PURPOSE:

The organisation and delivery of a programme of awareness raising events, campaigns and activities for LOROS.

We are seeking to appoint an experienced, enthusiastic and self-motivated person to organise, develop and lead our key awareness raising events, campaigns and activities, these being:

·  Dying Matters Week (May annually)

·  Hospice Care Week and Hospice Open Day (October Annually)

·  Christmas Cathedral Concert (December Annually)

The aim of these events and campaigns is to generate awareness of the Hospice, and all of its services and activities to ensure that LOROS is effectively promoted within Leicester, Leicestershire and Rutland.

The ideal candidate will have prior experience of co-ordinating events and campaigns, of delivering high quality customer service, and will possess excellent communication and organisational skills.

KEY TASKS:

Supporting the Marketing and Communication Manager and the Executive Lead for each of the above events and campaigns, you will be responsible for the following tasks:

Communications:

·  To be the first point of contact for all event/campaign enquiries. This will require the post holder to use their own initiative in responding to enquiries from attendees and prospective attendees by telephone and email, in a timely manner.

·  Creating, collating and disseminating event information for attendees and/or third parties.

Event and campaign administration and co-ordination:

·  Liaising with colleagues across the organisation in order to ensure that the planning of events/campaigns is undertaken in a collaborative manner.

·  Liaising with colleagues to establish event/campaign requirements, objectives and deliverables.

·  Working with colleagues in the Fundraising Events team to learn event practices at LOROS and to share knowledge and experience.

·  Undertake regular research of the sectors in which you operate, to support the development of events/campaigns and creative ideas to engage new audiences.

·  To act as convenor and, where necessary, take notes for all event meetings ensuring that accurate notes are taken and actions recorded and monitored (it may be that secretarial duties can be fulfilled by administrators from other teams as necessary).

·  Collecting and analysing attendee registration information if required. The post holder will be expected to identify and respond to any specific attendee needs (e.g. dietary or access requirements)

·  Creating event/campaign plans and materials to ensure successful event/campaign delivery and motivation of staff.

·  Ensure that health and safety legislation is adhered to, risk assessments and other due diligence matters are carried out and are in place before any event occurs.

·  Producing reports on delegate attendance numbers pre and post event, and making adjustments to activity where numbers differ from those expected.

·  Managing individual event/campaign budgets, advising on allocation of budget to certain activities and monitoring expenditure to ensure costs remain within overall budget set, making adjustments to planned activity if necessary.

·  To gather and account for funds raised where this has occurred at an event.

·  Liaising with internal and external suppliers to ensure delivery of event/campaign requirements.

·  Working with external partners as necessary for the delivery of joint events/campaigns.

·  Writing and collating content for event programmes and campaign materials and working with the Marketing and Communications team to overseeing their production.

·  Managing and coordinating arrangements on the day of events.

·  Evaluating events/campaigns and producing a post event report that draws together learning and recommendations for future improvements.

Event and campaign marketing:

Working with the wider Marketing and Communications team to effectively market each event and campaign, you will support the following tasks:

·  Being a brand ambassador for the charity, ensuring consistent use of the charity’s brand across all event items.

·  Produce event/campaign collateral such as posters, brochures and invites, to include writing content, providing a brief for the designer, and overseeing the production process.

·  Creating and delivering event and campaign marketing strategies, to include online and offline activity (e.g. print, web and social media content and delivery)

·  Writing event and campaign copy and adapting it for use across various marketing channels.

·  Collating and updating mailing lists/event databases for event/campaign marketing.

·  Disseminating invitations/publicity materials relating to events to appropriate audiences.

·  Promoting events/campaigns to internal and external audiences.

·  Ensure that photography, video and any live social media is in place for each event.

·  Sourcing case studies/quotes and photos from event attendees that can be used for future promotion of the events, whilst adhering to the consent process.

Other tasks:

·  The post will require attendance at events taking place in the evening or at weekends.

·  Undertake ad hoc projects and work as directed by the Marketing and Communications Manager, and deputise for them when they are absent.

·  To network effectively for mutual benefit with other charities and in particular other hospices and Hospices UK.

LOROS is a charity whose aim is to enhance the quality of life of adult patients with cancer, progressive neurological conditions and end-stage organ failure for whom curative treatment is no longer possible. Patients are treated at the hospice and in the community based upon clinical need, regardless of background and the ability to pay.

LOROS specialises in holistic, multidisciplinary care, focused on the whole person and including family and carers. The care given takes into account the patients’ physical, psychological, social and spiritual needs as well as their own choices. Family members are supported in adjusting to loss and bereavement.

LOROS contributes to the education and training of its own and other health and social care professionals and of volunteers. The charity is also committed to research in order to improve the understanding and practice of palliative care.
