Administrative Assistant I

Purpose

Purpose:

Responsible for providing administrative services supporting the programs, operations, services, functions and procedures which the Associate Registrar oversees, including management of student communications; providing notary services; and participation in collection of grades and meningitis documentation.

Essential Functions

Function 1:

Responsibility for management of student communications distributed by the Office of Admissions, Records and Registration, including project planning for set up of communications on process scheduler and in 3C Communication module in MyMav, as well as parallel updates to related websites, Trailblazer and the MyMav and/or Blackboard portal.

30% Time

Function 2:

Responsibility for collection of grades, including progress report grades, final grades and dual credit grades for the Honors College (including distribution of dual credit grades to high schools).

25% Time

Function 3:

Responsibility for providing notary services, including affidavits for apostille, as a Records Office service.

10% Time

Function 4:

Responsibility for collection and documentation in MyMav of meningitus vaccination records.

10% Time

Function 5:

Responsibility for providing support backfill for the areas reporting to the Associate Registrar.

10% Time

Function 6:

Responsibility for support of diploma replacement and reorder requests.

Function 7:

Responsibility for occasional literature searches and preparation of data for requested data analyses.

Qualifications

Required Qualifications:

Bachelor's degree with 1 year upper level secretarial experience; or high school with 5 years of increasingly responsible administrative, secretarial and clerical experience. Preferred Qualifications:

Experience in a position requiring considerable record keeping and/or detailed oriented work. Coordinating projects. Excellent communication skills. Experience with various office software such as Microsoft Office (Excel, Word, and Outlook). Experience with and knowledge in PeopleSoft(MyMav).
