Managing the School Year-End Process

This document provides assistance to staff working with Intensive Instruction plans as they prepare to close out the 2007-2008 school year. The document is broken into the following segments for quicker access to pertinent information:

  1. Intensive plans that will complete prior to July 1st.
  2. Intensive plans that will carry over/continue through and beyond July 1st.
  3. Notice that the Intensive Instruction database will become a statewide program for the 2008-2009 school year.
  1. How to manage plans that will be completed/end prior to July 1, 2008.

All plans completing prior to July 1 should be completed by selecting the appropriate team recommendation and saving the changes. This identifies the plan as “complete.” There should be no plans identified as “active” for the 2007-2008 school year after June 30th.

  1. How to manage plans that will carry over/continue beyond July 1st or when the 2008-2009 school year starts.

If a plan is going to continue the next school year, it still needs to be closed out and “completed” this school year for historical record and documentation. There is a simple process that allows users to “forward on” continuing plans to the next grade level, school, and AEA staff person. This forwarding process ensures:

  • Plans will be accurately tracked and accounted for as children move through the system.
  • Plans will not have to be re-written from scratch for the next year.

To complete a plan AND continue it next school year or after July 1st, please use the following procedure:

  • Access the IIP system and open the child’s IIP record.
  • Go to the “Recommendations” tab and accurately complete the information.
  • On the “Team Recommendation” drop-down menu, select: “Continue plan next school year,” then click “Save Changes.”
  • A process much like the student transfer process will commence with a screen asking you to confirm that this child’s plan will continue into next school year:
  • Select “OK” to proceed. A menu of school building options appears. Select the school building the child will be attending next year. (Make this choice even if the student will attend the same school she/he now attends).

  • Next, confirm that you have selected the appropriate school building for this child. Click the pull-down menu next the “AEA Contact” to see a display of all AEA staff assigned to that building. Select the appropriate AEA contact. (If this child is moving to a new building, this will notify your AEA colleague that they will have a child coming in with an Intensive plan and they will be able to pick up on it when school resumes.)
  • The database automatically displays the child’s current grade and assumes a one-grade advancement. (Note in the example below that the child is currently in “Pre-School” and the next grade level choice is “Alt-Kindergarten). If this is not correct, select the grade level that the child will be in next fall. In the example below, it is likely necessary to change “Alt-Kindergarten” to “Kindergarten.”
  • Click “Complete the Continuation Transfer.”

  • You have now completed the transfer process for plans continuing beyond July 1st. Your record will show the child as having a “complete” plan for this school year and a record identified as “new,” but with all the pertinent information, is now viewable at the appropriate building and to the identified AEA person for quick access next fall.
  1. Notice that Intensive Instruction Plan is going statewide in 2008-2009.

Our Intensive Instruction Plan is undergoing some minor modifications and upgrades for the 2008-2009 school year and has been taken up by the state Child Find committee. Beginning in the fall of 2008, this database will be identified as the “Iowa Instructional Plan.” For Grant Wood staff, there should be little noticeable differences except for the upgrades. Login and basic operation will remain the same or very similar. Look for more guidance this fall.
