WE’RE ON OUR WAY!!

We are all very excited for our upcoming trip to Chicago. The Band and Orchestra will perform at the Museum of Natural History. Both groups will also participate in a clinic at Vandercook College of Music. The following pages of information are considered necessary for both parents and students as we anticipate our departure for Chicago on Friday, February 17, 2017. Please take the time to read through all of the information. If there are any questions please contact Mrs. Karriker or Ms. Shoenfelt.

To undertake a trip of this magnitude requires much on the part of each staff member, parent, and student. We must all do our part to ensure a safe and enjoyable trip. If we all cooperate, this will indeed be the experience of a lifetime. We must always keep in mind that we are representing Chagrin Falls High School and our instrumental programs. We are also ambassadors of the village of Chagrin Falls and will set the standard for groups wishing to travel in the future.

The main purpose of our trip is to provide a positive musical experience. We also want to relax, have some fun, and enjoy our time on this trip. “WE’RE GOIN’ TO CHICAGO!!”

CHAPERONE INFORMATION

Your main responsibility is to help the students have an enjoyable and safe trip. You are on the trip to help them but do try to enjoy yourself too!

(1) The main duty of a chaperone is to keep order and be of help to the students when needed.

(2) Chaperones will communicate directions to the students when necessary. The chaperones do not make up the rules – they enforce them. If at any time, a chaperone has a question as to a policy or directions they should contact one of the directors.

(3) Do not attempt to interpret the rules or make them up as you go. If you feel that a student is being unruly beyond your control, inform a director immediately.

(4) The chaperones should be the students’ first contact if a problem arises on the trip. The students will have your cell phone numbers and you will have theirs.

(5) Chaperones are expected to ride the bus to and from Chicago with the group.

(6) Chaperones are expected to stay in the hotel with the group and check-in the students each night at lights out.

(7) Chaperones are expected to be at each check point throughout each day (usually 3-4 times) and check in all students in their “group”.

(8) No smoking or drinking will be allowed by the chaperones. School rules apply to both students and chaperones.

Again, Mrs. Karriker and Ms. Shoenfelt truly appreciate the time you are giving while on our trip. We understand that while you are volunteering as a chaperone, you have also paid and are expecting to enjoy yourself in Chicago just as much as the students are. Again, with cooperation and communication, we will all have a wonderful experience.

RULES AND REGUALTIONS FOR STUDENTS

THE FOLLOWING RULES AND REGUALTIONS HAVE BEEN DEVELOPED FOR THE SAFETY AND PROTECTION OF THE PARTICIPATING MEMBERS OF THIS TRIP. THE SUCCESS OF THIS TRIP IS DEPENDENT UPON THE COOPERATION OF ALL TRIP PARTICIPANTS.

(1)  This is a school trip. All school rules apply.

(2)  Student luggage may be checked at any time before and during the trip.

(3)  No student shall use, or possess any controlled substances while on the trip. The use of tobacco products while on this trip will not be permitted (even if you are 18). Any student caught using tobacco products will lose privileges for the remainder of the trip and will face school discipline upon our return. The use of narcotic drugs, alcoholic beverages, or hallucinogenic drugs will not be tolerated and will be severely dealt with. If any student is suspected of any of the above offenses, they will be placed in the custody of the local police until a parent arrives at their own expense. The student will be dismissed from the tour (with no refund) and the parent will assume responsibility.

(4)  Use common sense. The safety of everyone involved and the orchestra and band are our top priority.

(5)  General misconduct, verbal disrespect, obscene gestures and the use of profanity will not be tolerated. Students need to remember that they are representing Chagrin Falls at all times. “Please” and “thank you” should be an important part of your vocabulary – we are guests of the Renaissance North Shore Hotel and any other location that we travel to. Good manners are expected of all students. You are responsible for carrying on our “class act” image.

(6)  Each student room will be assigned a chaperone. The students in each room will report to that chaperone for the duration of the trip. A card with the chaperone’s cell phone number and the numbers of the students’ in that group will be provided.

(7)  Check-in times are important. Be on time. If you are late, you will spend the rest of the day with your chaperone.

(8)  Chaperones are to be treated with respect. They are volunteering their time to ensure your safety on this trip. Directions and instructions from the directors will be communicated through the chaperones. If a student has an issue with a chaperone, they should contact one of the directors. With everyone’s cooperation, we will all have a great experience.

(9)  Private or personal side trips by any student or group of students will not be allowed. It is expected that everyone will participate in all of the scheduled activities while on the trip.

(10)  Inappropriate displays of affection, public or private, will not be allowed.

(11)  Girls will not be permitted in boys rooms and boys will not be permitted in girls rooms at any time. Socializing between members of the opposite sex must occur in common areas of the hotel. (i.e. lobby or lounging areas)

(12)  The members of the band and orchestra are guests of the Renaissance North Shore Hotel. The rooms and the items contained within it are the property of the resort and should be treated accordingly. Check your room for damage upon arrival and report any findings to your chaperone.

(13)  Curfews will be imposed at the hotel for the duration of the trip. Students will not be permitted to leave their room after curfew. Chaperones will be checking rooms after curfew and for lights out at the appropriate time. Our tour company provides (2) security guards ALL night. Chaperones will also be around to make sure that students are in their rooms. There are other guests at the hotel. Please act accordingly.

(14)  Students should adhere to the school dress code when packing clothing for the trip. Modesty is the best policy when deciding what to wear. This is a school trip and all clothing must be school appropriate. You are representing Chagrin Falls High School.

(15)  Students should never go anywhere alone while on this trip. The “three buddy rule” will always be in effect. Safety is very important.

(16)  All rules apply. Anyone committing crime of any kind on any property will be prosecuted to the fullest extent. Students will be handed over to the local police and parents will be called to collect the student at their own expense.

(17)  Have fun and perform well.

FREQUENTLY ASKED QUESTIONS

Will we miss school? No. Friday February 17th is a Teacher Work Day. You will also have no school on President’s Day. (Monday, February 20th)

Do we have to come to school on Tuesday when we return? Yes. If you miss school or come in late you will have a Saturday detention.

Are we able to go to other places that are not mentioned on the itinerary? No. You will need to remain with your group and chaperone at all times. Side trips to other sites not listed on the itinerary are not permitted.

Do I get to pick my roommates? Yes. What about chaperones? No.

Will the band and orchestra get to perform together? No. The Band and Orchestra are participating in separate clinics and they will also perform separately at the museum.

Are non performers allowed to attend the workshop? Yes.

Will there be fundraising opportunities for me to raise some of the funds? Yes.

Can parents purchase the tour package? Yes, as a whole package.

Can I purchase the entire package and not ride the bus? Yes, you will be able to ride the bus to and from events. You must purchase your own airline tickets and provide your own transportation from the airport.

Can a student fly and meet the group? No, all performers must ride the bus.

Can my student be with our family? Yes, but students are expected to meet their chaperone at all check in times.

Can our family leave the designated site? Yes, but the performing student must stay with the group.

How much spending money will I need? Bring a little or as much as you would like to bring. Keep in mind you need to provide 2 meals for yourself both enroute.

Is there a discount for families with more than one student attending the trip? No

Is there a discount for chaperones? No.

Will students have a dress code? Yes, for performances. Students will be wearing their designated uniform. Otherwise, school dress code applies.

Who will disperse medications? The directors and/or a nurse will disperse student medications. This will be discussed at the January 18th meeting.

Will the bus have Wi-Fi? Yes.
