A.Introduction
About IIM : The Indian Institute of management Tiruchirappalli (IIMT) is the eleventh IIM established by the Ministry of Human Resource Development, Government of India, presently IIMT functioning from National Institute of Technology Tiruchirappalli-15 (NITT) Campus. The Permanent Campus site located in between Bharathidhasan University and Anna University Trichy, in Pudukkottai Main road.
About Function:
The Institute is to conduct its Second Annual Convocation at our Permanent Campus site. The shed is to be erected in open space. Approximately 600 persons are expected to attend the function. All the facilities are to be provided in the shed like Air conditioning, Electricity, Carpet flooring, Decoration etc.

C. Submission of Tender
The Contractors should submit three bids in separate envelopes and all envelopes placed in one
Cover and submitted to us.
Bid 1 = Tender cost (Rs.5000/-) and EMD (Rs.2 lakhs).
Bid 2 = Technical bid - contains details about previous experience, Tools and materials owned or
Hired, ongoing works if any, Name and contact No. of previous agencies etc.
Bid 3 = Price bid - filled in the prescribed format (Schedule-H). Submission of Price bid in any
other format will be rejected
D. Selection Procedure – It will consist of Tree stages
Stage I – Tender cost and EMD should be submitted by the contractor. Without Tender cost and EMD the
Tender will be rejected.
Stage II – Technical evaluation- weightage of 50% of marks will be given for Technical evaluation. The
Mark will be based on
(a) Previous experience - 10marks
(b) Value of work executed - 10marks
(c) Feedback from the
Previous agencies - 10marks
(d) Video Presentation – (3D)
(i) Previous works - 10marks
(ii)Work to be done for IIMT - 10marks
The Tenderer who gets more than 30 marks in the Technical evaluation, will only be considered for the further process.
Stage II – Price Bid- 50% of mark will be given for Price bid. Full mark will be given for the lowest offer
and others will be awarded marks in inverse proportion.
Final selection – The marks obtained in Technical evaluation and Price bid will be consolidated. Based on the aggregate marks obtained the contractor will be considered for selection.
E. Pre bid meeting
There will be a pre bid meeting for clarification and suggestions about the specifications on the nature of works to be carried out on 04.02.14 at Board room of IIMT. Based on the decision in the pre bid meeting, if any minor changes in the specifications will be done and revised schedule will be uploaded in the web site immediately. After the pre bid meeting any request for changes in specifications will not be considered.

General Terms and Conditions :
1. New Good quality materials only to be used.
2. Payment will be made only after completion of the Program.
3. (a) If any item required apart from the list during execution of work, that also should be done with the concurrence of IIMT and accordingly payment will be made.
(b) If any item not required in the list during the execution, that should not be operated and payment will be deducted accordingly.
4. The Contractor should visit the site before quoting the rate.
5. The Shed should be ready on 13 -03.14 by 5.0 PM with all facilities and there will be an inspection on the same day.
6. There will be a rehearsal function on 14 .03.14 by 11.0 AM and the original function will be held on 15 .03.14 at 2.0 PM. All the works are to be completed and the hall should be ready for rehearsal function.
7. The contractor should submit the schedule for execution and completion of work. However, the Institute may modify the schedule given by the contractor as per its needs and the schedule so modified by the Institute only should be followed by the contractor.
8. Appropriate Penalty will be levied, if the work is not done as per the schedule. Appropriate Penalty will be levied, if the work done with poor quality. The extent of penalty will be decided solely by IIM Trichy.
9. The Contractor should submit EMD (DD or Bank guaranty) for an amount of Rs.2 lakhs. The EMD will be treated as Security Deposit for awarding the work and will be returned along with the final bill.
