HOW TO REGISTER YOUR VEHICLE UNDER THE “SHAPE” SYSTEM

CASE 1: Registering a vehicle under the ‘SHAPE’ system (1)

Do you intend to buy a Tax-Free vehicle, fill in a SF344 and have it completed.

1. To register a vehicle, you are required to present the following documents to the FSCEP-Registration
Section (RGN) (2)

a.  SHAPE ID card (only SHAPE members are entitled to tax exemption. Family members are not entitled to register a vehicle under the SHAPE system)

b.  A valid national driving license. SHAPE driving license will be issued to you upon production of a valid driving license or valid military driving license for assigned military or civilian personnel. (Holders of a European driving license will NOT be issued a SHAPE driving license). CA and US personnel must pass a written test on the Belgian Highway Code (contact SH3603 for appointment)

c.  Insurance: a valid green insurance card, which shows the name of the applicant, the vehicle chassis number and his address in BELGIUM. A SHAPE address (7010 SHAPE BELGIUM, APO AE …) is sufficient as long as the words SHAPE BELGIUM appear in the address. Insurance cards with the national address and/or national license plates or faxes can not be accepted. By preference this green insurance card should be valid for only 1 year (+- 1 month)

d.  The national registration certificate for the vehicle you want to register. If the registration certificate is in the name of the spouse, who is not entitled to register, you will need to change ownership into your name. In all cases, regardless of the age of the vehicle, Contrôle Technique (CT) (Automobile Inspection) is required prior to applying for registration at RGN (see 1.e below). In certain cases; RGN will need a copy of the certificate of marriage

e.  The CT valid certificate (green in colour) and a document ‘Demande d’immatriculation’ (application to register a car, pink in colour) obtained from the CT station is mandatory for any vehicle (motorcycles and trailers excluded) four (4) years old or older, calculated from the first registration date anywhere in the world. CT is also due when there is a change of ownership. For a camper, a van or a truck, the document ‘Demande d’immatriculation’ will be provide by RGN. For the CT inspection you will need your national certificate of registration and the required fee (please, ask the clerks of RGN for the correct amount). You are invited to check carefully that the document ‘ Demande d’immatriculation’, issued by the CT station, is correctly completed (especially make, type and chassis number). Regardless of age the vehicle will have to pass the CT inspection if equipped with a LPG (Liquid Petroleum Gas) installation. Registration of the vehicle cannot be initiated before the CT inspection (3).

f.  In addition RGN needs to know:

(1)  Engine size in cubic capacity or litres (liters).

(2)  Value of the vehicle.

(3)  Weight in Kg or Lbs (check your shipping document).

(4)  The date of first registration anywhere in the world.

g.  The registration fee of 45,00 Euro in cash (35.00 Euro for motorcycles, 55,00 for square plates) (4).

h.  Extension of the validity of the registration (re-registration) costs 30.00 Euros.

2.  RGN will complete the appropriate documents to have the vehicle registered and to get the Custom agreement when applicable

3.  The registration of the vehicle must be initiated within seven (7) days after the arrival in BELGIUM. Re-registration is due, even when the car is not in use due to technical reasons.

4.  Your registration will be valid till your rotation date with a maximum validity of 03 years.

(3)  The CT station nearest to SHAPE is located at Maisières, on the Chaussée de Bruxelles, near the highway junction.

(4)  Trailers less than 750Kg do not need separate registration but inprocessing is required.
