Database Development Project Manager

Bone Cancer Research Trust became a registered charity in March 2006 and from a small, powerful group of families, the charity has grown into a leading source of information and support for anyone affected by primary bone cancer. Of the £8 million invested in primary bone cancer research in the last 8 years, just under £2 million has been funded by the inspiring supporters of Bone Cancer Research Trust. Each year in the UK and Ireland around 600 people are diagnosed. Only half of those newly diagnosed will survive. There is still so much more to do. An ambitious new strategy is underway to gather pace, profile and funds to ensure this charity drives forward even more research to find treatments that will make this rare and devastating cancer a curable disease.
A cornerstone of the strategy is a new CRM system. This role presents an exciting opportunity to be part of our ambitious growth plans and help us deliver excellent customer care. The charity is to implement thankQ fundraising database to record and report its supporter, donor, management and financial information. We need a dedicated, experienced and skilled member of staff to lead the implementation and be responsible for inputting data, maintaining the integrity of information and working with staff teams to develop structure, systems and capture methods to provide the required management information.
We are looking for someone who has an excellent understanding of the core business of the charity – fundraising, marketing and customer services - and understands and communicates well the needs of the business user (our team) and our supporters. This is not about the technical building of a database but the effective application of a system and training for all users to strengthen and enhance the charity’s work.
Responsibilities:
Reporting to the CEO, the role is responsible for the transfer of current data into the new database with a keen eye for detail to set a high standard in terms of integrity of data. This role will also be to train all staff to input and maintain the database to an agreed high standard and develop a consistent data collection system. This will involve working with marketing, fundraising and finance departments to ensure a coherent system that satisfies different organisational purposes.
Support to management and staff in designing reports and benchmark indicators along with building the internal capacity to use thankQ to its maximum capability will be core elements of the role.
Principle Accountabilities
The person appointed to the role will be expected to deliver the following core services:
CRM Database:
- Implement the thankQ fundraising database within a cloud based management system. Some specific training will be provided from the software provider directly to begin with.
- Transfer all current data into the new thankQ system building on detail to create the database to a high level of integrity.
- Create a maintenance system to uphold levels of data integrity. This includes arranging and overseeing regular data audits and cleaning.
- Monitor, report & resolve functional and non-functional errors and problems with the CRM system.
- Data protection compliance, managing user access to ensure confidential data is only accessible to authorised members of staff.
- Develop and regulate standard searches to provide information required by different teams within the organisation. Coordinate information requirements through regular dialogue with user groups to ensure that information is being collected efficiently and consistently.
- Manage segmentation of customers for marketing and fundraising purposes by the effective use of categorisation, tick boxes, and other design tools.
Implement other categorisation mechanisms, such as campaign, funding
source and referral source to provide deeper analysis for fundraising and
marketing.
- Develop and maintain database back-up and restore procedures and periodically test them.
Training and development:
- Provide induction training and ongoing support to internal users.
- Develop and maintain management information reports and purpose specific
database searches.
- Support staff to integrate the thankQ system into daily office working practices, particularly the recording of customer communications and notes.
External Relationships
- Coordinate the relationship with the external thankQ support provider, ensuring system updates are implemented, manage licenses and user registrations and conduct regular status meetings.
IT Support
- Oversee day-to-day operations and improvement of IT systems and infrastructure.
- Provide support for staff by email, online and phone and install computer hardware and software, setup mobile devices and respond to general support queries.
Person Specification
Essential:
- Experience in CRM or fundraising databases administration and design used in the charity marketplace. Will need to know or have the ability to learn indepth knowledge of thankQ as well as BCRT’s business requirements and tie the two together effectively
- Accuracy is paramount alongside a real understanding of the importance of data quality
- Analysis and questioning skills
- Data transfer skills
- Experience with cloud based systems.
- Advanced Excel and Access experience and skills.
- Report writer skills to help design and upkeep reports.
- General IT capability. The following could be useful: SQL skills, knowledge of Windows/PC networking, solid understanding of web knowledge, database/web connectivity issues.

The holiday entitlement is 20 working days per year, plus bank holidays
Normal office hours are Monday to Friday, 9.00 - 5.00.
