Conference Administrator – Part-time

(30 hours per week, to be worked between 9am – 5pm Monday to Friday)

Job Description

This position is available in a small, friendly Brighton based office (Hollingbury)

Closing date: 18th August 2016

Start: As soon as possible

Salary: £15900 (30 hours)

Job Summary:

Conference Administrator required to manage workshop bookings, delegate lists, certification and delegate packs. Including workshop material shipments (must be able to lift and carry 12kg boxes)

Undertake general office administration, including answering telephone and internet enquiries . Help Publicity Manager with mail-outs (envelope stuffing).

Strong IT skills and experience of working with databases a definite advantage.

Must be willing to undertake some national travel to attend conferences.

Task description

• Read and act on incoming mails to &

• Answer phone – Listen & act on messages

• Fax – check and put mail on relevant desks

• Phone – answer & send out information requests etc

• Database – Input delegate details into the database and maintain lists

• Invoicing – invoice delegates, print and put into envelopes. Check any forms returned from workshops from people not on the delegate list and invoice any who have not already been invoiced.

• Admin support – travelling to workshops when required

• Write & send confirmation pack to each Pyramid delegate, including:

o Confirmation letters with details of venue etc

o Programmes for workshops

o Suitable map and print

• Send out confirmation pack 4-6 weeks before workshop by email and mail merge and then singly as delegates book.

• Administration for each Pyramid led workshop

o Make delegate list and copy one for each delegate

o Make registration sheets with name of delegates

o Print certificate sign-in sheets

o Make certificates and add names prior to workshop

o Print flyers, newsletters, one-day handouts etc for each workshop

o Make up and send boxes of above with manuals, handouts, goodie bags, badges, leaflets, etc

o File registration sheets and certificate sign-in sheets on return

• Administration for each Client Workshop

o As for Pyramid workshops but without delegate names

o Print and send out any incorrect or missing certificates

o Put delegate names from client workshops on database (usually summer job)

o Tracking of material shipment

o Stock check

General

• Answering telephone & day-to-day admin responsibilities

• Dealing with workshop and resources enquiries (whenever possible)

• Taking resources orders (mainly Donna, but with help from others)

• Proof-reading if required

• Attendance at meetings

• Other duties specified from time to time
