Position Title: Office Administrator

Definition: As the primary contact person for St. Mark, the Office Administrator is the friendly “face” of our congregation offering hospitality to those who enter our building. S/He serves as an aide to the pastors in the carrying out of their pastoral leadership and duties. S/He uses her/his personal gifts and technical skills for the benefit of the church. The Office Administrator will be a cooperative team member willing to work in partnership with the staff and others who share the work environment. Due to the nature of this ministry, there may be extended periods of working alone. A background check is required.

Reports to: Pastors

Supervises: Custodians and Nursery Attendant

Coordinates: Volunteers

Typical Work Hours: Monday – Thursday, 9:00am – 5:00pm

Minimum Qualifications:

High School graduate or GED

Minimum three years experience as a Secretary/Administrative Assistant

Excellent people and communication skills

Strong computer skills and working knowledge of MS Office Suite and Google products

Proficient in the use, operation, and maintenance of standard office equipment

Efficient organizational and time management skills

Competent command of English composition and punctuation

Demonstrate a high level of confidentiality, trust, and friendliness

Willingness to learn new skills as needed

Able to work independently as well as take direction

Responsibilities/Essential Functions:

Daily

Answer phone, take messages for pastors and staff

Sort, file, and distribute mail

Respond to phone and email messages

Weekly

Generate weekly bulletins including announcements

Send weekly congregational email announcements

Receive, write, and distribute prayer requests

Direct daily activities of custodial staff and nursery attendant

Prepare Pastor’s Text Study lessons and set up coffee cart before and then clean off cart after the meeting

Email Scripture Readings and Prayers of the People to the volunteer lectors and liturgists

Send out to Homebound members the HomeTouch page and Sunday bulletin

Check supply of welcome cards and giving envelopes in the pews

Return name tags to hangers

Water plants

Schedule and post weekly coffee host announcement

Contribute to the St. Mark webpage

Monthly

Collect and prepare articles for the monthly congregational newsletter

Recruit and coordinate volunteer help as needed (bulletins, worship assistants, and other office projects)

Provide administrative support to Church Council, committees,and ministries of the congregation as requested

On Going

Maintain Membership Book/log recording new members, baptisms, marriages, deaths, and transfers in/out

Coordinate building events and schedule rooms

Keep church database up to date (mailing list, membership, etc.)

Keep church calendar current

Monitor office equipment and request maintenance as required

Organize and order office supplies

Maintain petty cash with records and receipts

Maintain a list of building keys/person possessing

Maintain and update church Facebook page

Manage St. Mark Neighbor Fund

Manage facilities and facility use

Semi-Annual

Help get necessary materials (postcards, sign-in sheets ) ready for congregation meetings in June and November

Yearly

Coordinate, gather information, and prepare the Annual Report(s)

As Needed/Required

Type letters and schedules for pastors and staff

Prepare certificates of transfer in/out and notify churches as needed

Publish membership directory

Coordinate, type, prepare mailing labels and distribute church mailings

Maintain supply of Baptism, Marriage, and Funeral booklets and forms

Order holiday supplies (palms, candles, etc.)

Maintain list of contributors to Christmas and Easter Memorial flowers

Coordinate facility repairs and replacements

Maintain the phone system and train new users

Other duties as assigned

Performance review: An annual performance evaluation will be conducted by the end of the church program year (final week of June) by the pastors.
