WYA Participation Contract
- Status
- Our policies and procedures, including these conditions, for implementation of our WYA Youth and Junior Squad Programme are subject to change from time to time, including variations required to comply with Sport Wales directions on the application of National Lottery funds.
- We reserve the right to amend, supplement and/or discontinue at our absolute discretion, for whatever reason, any or all of our policies and procedures.
- Eligibility
- You will not be eligible to join the WYA Youth and Junior Squad Programme or receive an award from us until a signed and dated Participation Contract has been received – if sailing a double hander it needs to be received from both members of you team.
- Your primary residence should be situated in Wales and you should be a member of a Welsh Sailing Club.
- You should also be a member of the RYA and your class association.
- Communication and Cancelation
- Notices of squad training provide information about the meeting times, head coach contact details, supervision and food arrangements for all winter squad training. Any subsequent amendments or additional information will be sent to you via email. This requires you to frequently review your email and ensure that we hold valid email addresses for you and your parents.
- Details of our selection policy, events, criteria and process for squad membership will be published under the squad section of the Welsh Sailing Events website.
- It is not our policy to cancel a camp unless it is unsafe to travel. In the unlikely event we need to cancel a camp, we will aim to send an email before 1pm on the day before the camp is due to commence and we will endeavour to post a notice on the WYA Facebook page.
- Calendar
- The training dates that you are required to attend are as detailed in your Notice of Training.
- We will endeavour to post dates in the Google Calendar that can be found on the Welsh Sailing Events website as soon as they are confirmed and all sailors should monitor the website regularly to ensure they can successfully plan ahead.
- You are expected to attend all camps unless previously agreed with your Head Coach or the WYA’s High Performance Manager.
- Training Camp Supervision for Under 18 Year Olds – House Parents/Shore Parents
- Residential training camps cannot take place without a House Parent being present. Your parents (or guardians) will be required to act as house parents responsible for supervising squad members during residential training camps.
- You and your parent/guardian give permission to the WYA appointed supervisor to administer you with, any treatment or medication that you bring with you for conditions made known to us in the medical questions you have completed within your application to your squad, and also to administer over-the-counter analgesics and decongestants (save where you have told us that you are allergic to them) and to administer emergency first aid when or if necessary.
- If the need arises your parent/guardian authorises the WYA appointed supervisor to take you to hospital and give full permission for any necessary treatment required, to be carried out in accordance with the hospital’s diagnosis. Your parent/guardian shall be notified, as soon as possible of the hospital visit and any treatment given or proposed to be given by the hospital.
- Your Training and Competition Programme
- Your coaching team should produce a training and competition programme for the year which your National Coach can help you prepare.
- Your programme should contain:-
- Your outcome and performance goals.
- Squad training camps
- Mandatory regattas and competitions
- Fitness and sport science goals and plans.
- In addition, the plan should detail other commitments, such as holidays, exams and other non-WYA and RYA Squad sailing activities.
- Fitness Training and Assessment
- You understand that physical fitness is an important element of squad training and competitive sailing in general and you are happy to participate in fitness training that is included in the squad camp activity.
- You understand that fitness assessments mean undertaking physical activity at or near the extent of maximal capacity and that there are inherent risks associated with exercise at this level (e.g. episodes of light headedness, fainting, abnormal blood pressure, chest discomfort, and nausea).
- You further understand that though such risks are present, the coaching team and Sport Scientists will take proper care in the conduct of the assessment in order to minimise the chance of occurrence.
- You understand that participation in an assessment is dependent on you current physical health. If there is concern about the appropriateness of completing an assessment either you, you parents, the Sport Scientist, or the Coach may request that your involvement is withdrawn. Requests made by you or your parents to withdraw from an assessment must be presented to the Sport Scientist or Coach, ideally before the planned assessment for consideration.
- You confirm that the medical information which you or your parents/guardian supply within your squad application is true and accurate to the best of your knowledge and you will update that information if your health changes. You understand that you should inform the Sport Scientist or Coach prior to any training or an assessment about any illness or physical defect you have that may increase the risk of further injury or illness.
- You acknowledge that personal information provided by you or gathered during an assessment may be stored electronically or otherwise, and accessed by WYA employees, agents or contractors in accordance with current data protection legislation and practices.
- You hereby release the WYA and service providers from any liability for any injury or illness that you may suffer while undertaking the assessments, or subsequently occurring in connection with the assessments or that is to any extent contributed to by it, other than in respect to death or personal injury arising from those parties’ negligence.
- You must take full responsibility for your own physical training programme and continual improvement should be sought in all areas of testing. You should follow regular training sessions every week even during sailing training.
- In ability for one or both members of the team to attend a camp, requests to substitute a crew member
- If you, or your sailing partner, or both, are unable to attend a camp for any reason then you should indicate this on the paperwork/on-line acceptance information you submit to the office.
- Should you later become aware that one or both of you will be unable to attend a camp for any reason (illness, injury, academic or family commitments) then you should promptly notify the High Performance Manager or Programme Assistant by email.
- Should you desire to substitute a member of your crew with another sailor for a camp you should submit a written (by email is sufficient) request in good time, via the Programme Assistant or High Performance Manager.
- Refunds for non-attendance will only be made where notification has been received in sufficient time such as the WYA does not bear any costs associated with a sailor/boats non-attendance.
- In the case of authorised substitution of a member of the crew for a camp, refunds will not normally be made. Sailors are expected to sort out any refunds/differentials of the finances within the partnership as they see fit.
- Team Splits
- Double handed boats are invited to be part of the WYA Youth and Junior Squad Programme on the basis of the performance of the team, not the performance of each individual within the boat. In the event that the partnership breaks up neither the helm nor the crew are automatically entitled to retain their place in the WYA Youth or Junior Squad or WYA Youth Academy. This is especially the case for non-Welsh members of double handed squads.
- Anti-Doping
- Details of ISAF’s (International Sailing Federation’s) doping control rules, regulations and procedures (which prohibit banned substances and/or methods) are available on ISAF’s website.
- You agree to:
- Comply with such doping control rules, regulations and procedures from time to time in force.
- Ensure that any medication or substance taken in any form is not prohibited for use in your sport.
- Support drug-free and ethical sporting practices.
- Neither possess, supply nor use illegal or prohibited drugs.
- Ensure the WYA is full informed of any and all drug related offences in which you may be involved.
- Conduct (Standards of Behaviour and Attitude)
- You and your parents/guardians recognise that as a member of the WYA Youth or Junior Sailing Squad, your behaviour and attitude with reflect the Squad, the WYA and the sport of sailing as a whole. Accordingly, you and your parents/guardians agree to project a favourable and positive image of the sport and to demonstrate high personal standards of behaviour, good manners and sportsmanship at all times while participating in WYA Squad and Academy activities. In particular:
- You should not do any act of thing which causes or might cause the WYA/Sport Wales to be brought into any disrepute;
- You should comply with the rules of your sport in competition;
- You should comply at all times with the constitutions of the WYA and the RYA, including such codes of conduct/ethics as may be laid down or recognised by your sport from time to time;
- At all WYA residential camps, you must not leave the site without express permission of your head coach or house parent.
- You should not use recreational drugs and/or smoke or drink alcohol during WYA Squad activities (including events, training, weekends, camps) organised by the WYA or in which the WYA Youth or Junior Squads are participating.
- You should arrive at the scheduled time for all WYA Squad activities.
- You and your parents/guardians shall respect the facilities and environment, staff and personnel, involved in the facilitation of the WYA Squad Programme and agree to be bound by the rules and the byelaws of the squad training venues.
- You and your parents/guardians shall demonstrate consideration for individuals, their safety and their property. Bullying of any kind (including physical, verbal, sexual or racial) will always be dealt with severely.
- Suspension and Termination
- Continued membership of the squad and access to Sport Wales funding will normally be dependent upon:
- Continued funding of our WYA Squad Programme be Sport Wales;
- Satisfactory performance or the sailor(s);
- Conformance with the codes of conduct that are laid down or recognised from time to time;
- Conformance with programmes, reporting requirements, policies and procedures, and other reasonable requests.
- Performance and conformance will be reviewed on a regular basis.
- Notwithstanding the above, we reserve the right at out absolute discretion to suspend or terminate you membership of the squad and funding at any time and for any reason.
- We will inform you in writing if it is our intention not to invite you to future camps. Invitations will be subject to on-going reviews by the High Performance Manager and relevant class Head Coach.
- Insurance
You are responsible for, and required to have, adequate third party (of at least £2million), boat and trailer (where applicable)/
- Exclusion of Liability
Save in respect of negligence causing death or personal injury, we, our servants and agents shall not at any time be liable to you in respect of any loss of opportunity or any type of special indirect or consequential loss arising in consequence of any breach of this contract or in connection with the delivery, management and/or implementation of the WYA Welsh National Squad Programme.
- Data Protection
You acknowledge and agree that all personal information (including name, telephone number, addresses and “sensitive” personal information such as physical or mental health) provided by you or gathered by the WYA whilst a member of the WYA Welsh National Squad Programme may be stored electronically or otherwise and will be used by us and our consultant, retained by us from time to time in dealing with you as a squad member and advising you of future and/or related programmes and activities or the WYA of which we believe may be of interest to you. Any such processing will be conducted in accordance with current data protection legislation, guidelines and practices. We will not pass on your information to third parties for marketing purposes.
- At the WYA we respect the privacy of personal email accounts and we store your email addresses just as securely as other personal information on WYA systems.

Parent or Guardian Declaration
Under law, this helm/crew is my dependant, and I accept the liability clauses above and in the participation contract which exclude my dependant’s right to claim compensation in certain circumstances. I declare that during the training the boat will have valid and current third party insurance of at least £2 million. I confirm that my dependant is competent to take part.
I confirm that I am responsible for my dependent throughout the training camp and during camps I will be contactable on the details given on the RYA Medical Form – It is a parental responsibility to inform the RYA if these details change.
In the event that I am unable to attend a particular training camp I will notify the appropriate head coach of the identity of the responsible adult who is acting in loco parentis.
