Notes for 9/8/08 Meeting
1. Transfer in procedure: Guided Practices p. 124 1503-4.4
If getting data from other state and determining no additional assess, do entire DEC 3 using the info from the current evaluation.
· Send your Prog Spec the Notification of New Enrolling EC Student form
· Review the info from the parent/previous school to determine services
· Begin services immediately upon enrollment
· Set up meeting right away to accept, amend, reeval, etc.
· For out-of-state transfers, the meeting will require a DEC 1, 2 (if assessment is needed), 3 (if accepting current data), 4, 5 (with meeting minutes attached), and 6 (if current data is used). A DEC 2 will be required if the team determines that additional data is needed to determine eligibility.
2. CECAS concerns: Go to Dept Chair first then they email us if needed. No CECAS ?’s directly from individual teachers. Dept chairs will email the program specialist with the question and what has already been tried to solve the problem.
3. Referrals/SSST forms: Do not start DEC 1 before all information is complete on SSST forms. This is a regular ed procedure.
4. All speech referrals must go through SSST before DEC 1.
5. Parents still must be invited to DEC 1 meetings.
6. When to use DEC 5 and what to put as effective date? We will continue to do a DEC 5 for each meeting. Meeting minutes must be done on the form on the website and attached to the back of the DEC 5. The date the decisions will take place will be the same as the meeting date whether or not the parent is there except in the case of COP or change of category and 10 day notice is required.
7. Handbook receipt form: On website Attach to the inside front of the current folder on top of the contact log, inspection log. On the Preview form, check Yes/No if you have gotten it signed and attached it to the folder.
8. Check off corrections as made on Preview forms so we will know that everything has been addressed.
9. Standards based IEPs New DEC 4 Applies to any student on Extend2. SCOS goal that student is working toward must be stated, but the IEP g&o should be based on what the student should be able to accomplish in one year based on their current level of performance. Until the new form is on CECAS, put the SCOS goal in the comments section. ncpublicschools.org
10. Written referral from parents: 90 day timeline begins on the day the written referral is presented to the school. The DEC 1 should be completed at this time and the SSST process, etc. should begin immediately. Eval should be scheduled near the end of 90 days to allow time for all interventions, conferences, etc.
11. Do not wait until the last minute to have mtgs. All AR,RD,RE,Initial meetings should be held by the following dates to allow for time to review, corrections and c/v before major deadlines:
All meetings due through 12/2/08 should be held by 11/18/08
All meetings due through 4/2/09 should be held by 3/24/09
All meetings due through 9/30/09 should be held by 5/22/09
12. C/V immediately after reviews and corrections.
13. DEC 1 Team determination: If assessment is needed, list at IV the things checked on DEC 2 Use terms from DEC 2.
14. On CECAS, change grade, case mgr, school (if needed).
15. Testing accoms to Judy. Copy the NCTP table from the current DEC 4 and give it to the dept chair to include in the end-of-month folder. Be sure to include specifics. Make a new copy when there is an AR or testing change.

17. Procedures/Compliance Training for new teachers, and any others who wish to attend, will begin 9/15 at 3:30. Schedule/location will follow.
