Provider Instructions

for Completing the Worker Upload Template

Prior to implementing AuthentiCareLouisiana, First Data will load information on your workers into the AuthentiCaredatabase. A worker is any employee who provides services for a Louisiana client and will use the Interactive Voice Response (IVR) system. It does not include your office workers (employees) who will only use the AuthentiCare website.

If your agency has multiple office locations, and yourworker is assigned to work from more than one location, the worker must be listed separately on the spreadsheet for each location. First Data will then assign a different Worker ID to that workerfor each of your office locations. However, if a worker serves more than one client for the same office, the worker will only need one Worker ID. In other words, the Worker IDs are linked to each specificProvider office location, not to the client.

To accomplish this, complete the accompanying Excel spreadsheet as instructed below and return it to Grant McKay () at First Data.

All of the columns (A – F) must be populated. There are required fields for creating a worker in AuthentiCareLouisiana.

  • List the name the worker goes by as this is what will be the name read back on the IVR.
  • List the workers Social Security number in string format, ex: 123456789
  • Date of Birth must be in mm/dd/ccyy format only.
  • Effective Start Date, the begin date of the employee, must be in mm/dd/ccyy format only.
  • Provider ID is your 9-digitProvider FID (TIN) number. When submitting your spreadsheet please identify which office location the workers are applicable to.

Do not populate any additional information outside of the template columns.

Do not change the header titles.

Do not change the order of the columns.

When First Data receives the spreadsheet, your workers will be loaded into AuthentiCareLouisiana whichwill automatically create a Worker ID for each worker.

First Data will return the spreadsheet to the provider (sender), with an additional column that specifies each Worker ID. The worker must have the Worker ID to use the AuthentiCare IVR system or to have a claim entered on the web.

After implementation, providers will manage workers (add, inactivate, change information) via the AuthentiCare website. The Worker ID will be auto-generated each time you add a new worker.
