OLCGA CLUB DELEGATE - JOB DESCRIPTION

Attendance at Club Delegates meetings and AGM/EGMs
  • Attendand participate in Club Delegates’ meetings held 3 or 4 times a year (1 - 2 hours) or arrange for a deputy to attend if necessary.
  • Represent Club’s views in all County and EG matters and vote in accordance with their views.
  • Submit propositions from the Club to the Executive Committee.
  • Attend the AGM (November) and any EGMs, along with as many Club members as possible.

EG responsibilities
  • Advise changes of Club Delegate to the County Secretary so she can inform EG.
  • Ensure that all correspondence from EG is dealt with in the appropriate manner at the Club.
  • Ensure that the Club votes on all EG Resolutions and that there is a procedure in place at the Club to enable this to be done.
  • Ensure that new members have the ‘New Members’ pack provided by EG and explain to them the workings of the Club, County and EG. (propose deletion)
  • Report to the Ladies’ Committee on EG matters.
  • Promote the EWGA Trust.

County notices and communication
  • Promptly and clearly display all County notices, minutes of meetings and AGM papers on the Club’s County notice board.
  • Keep Club members fully informed of all County matters– encourage ladies, girls/parents to visit the county website & register to receive e-mail updates directly
  • Discuss with the Club any propositions circulated and relevant implications.
  • Report to the Ladies’ Committee on County matters.
  • Keep Club Junior Organiser and Club Professional Staff updated about all Girls’ coaching, Play Days and competitions
  • Attend Club’s Ladies’ AGM (if held) to give a report (or submit a written report if unable to attend).
  • Assist the County Treasurer in collecting subscription monies if required.

Notifying County Team Captains of potential squad members
  • Inform the County 1st and 2ndTeam Captains of any new players achieving single figure handicap status (or new members with single figure handicaps).
  • Once a year, provide a list of Senior players (+50) who would like to be considered for matches to the Senior Captain.

Woodburn-Bamberger Cup
  • Organise Part 1 (Club knockout stage) by putting up a sign-up sheet and doing the draw.
  • Send all entry fees to the County Treasurer.
  • Ensure finalist names are passed to the County Competition Secretary before 30th April each year.
  • Notify your finalists once Part 2 of the draw has been made.
  • Clearly display the knockout draw sheets and keep them up to date with results.
  • Refer to the “Rules for the Woodburn-Bamberger Cup” for further information or in the event of any dispute.

The President’s and Captain’s Inter-Club competitions
  • Submit your Club entry form(s) to the County Competition Secretary by November 1st each year.
  • Organise the matches within the specified timetable for the Captain’s and President’s Inter-Club fixtures.
  • Clearly display the knock-out draw sheets and keep them up to date with results.
  • Inform the County Competition Secretary of the match results.
  • Refer to the “Rules for the President’s Inter-Club and the Captain’s Inter-Club Trophies” for further information or in the event of any dispute.

County Competitions
  • Promote County and EG competitions within the Club and generate maximum interest.
  • Ensure relevant starting lists are posted on the notice board and participants are aware of their tee times (can be done by email).

County Competitions held at Club Delegate’s course
  • Assist the Fixtures Secretary to arrange fixture dates if requested.
  • Throughout the preparation stage liaise with the County Competition Secretary (who will provide notes and instructions specific for any competition hosted at the Club).

Supporting your County Teams
  • Endeavour to obtain support from Club members for 2nd Team County Matches, County Week and Junior County Match Days, especially when playing locally.

Term of Office
  • It is highly recommended that Club Delegates are elected members of their club committee and are appointed for a minimum of 2 years. It is hoped that some Club Delegates would serve on the Executive Committee in future years.
