JOB DESCRIPTION
Accountable to: Head of Engagement
Salary: £30,290
Responsible for: 5 x College Engagement Coordinators
1 x Democracy Coordinator
Volunteers involved in democracy and campaigns
Hours: 37 hours per week
Location: Various sites across London and the Arts SU main office in Holborn.
JOB PURPOSE
1. Lead of union wide engagement projects and manage a consistent approach to the Union’s college based activity
2. Contribute to the Engagement Unit’s strategic and operational planning
3. Manage the College Engagement Coordinators and Engagement volunteers
KEY RESPONSIBILITIES
1. Lead of union wide engagement projects and manage a consistent approach to the Union’s college based activity
· Responsible for the day to day management of our union wide response to Engagement activities and projects
· Ensure a level of consistency across the student engagement activities and events across the colleges – including student initiative fund and the way we interact with students on a college level
· Responsible for the day to day management of the Union’s democratic and campaigning functions which include Elections, By-Elections, Student Council and All Student Votes
· Liaise with officers, colleagues and college staff to generate activities and ideas that will have medium to long term positive impacts on satisfaction
· Set the framework for Student Initiative Funding and monitor its delivery
· Responsible for the day to day management of ensuring consistency in our promotion of our Executive, the union and our achievements
· Responsible for the day to day management of collating data relating to student involvement in activities and projects within the colleges and levels of student interaction
· Responsible for specific tasks and projects that contribute to the Engagement Unit’s work as directed by the Engagement Manager
· To be responsible for the day to day support of the sabbatical officers to engage students with local and national campaigning activity.
2. Contribute to the Engagement Unit’s strategic and operational planning
· Gather data from college coordinators to produce our union wide response to issues within the college
· Contribute to the Union’s strategic plan by developing, monitoring and reporting on College plans
· Contribute to the Engagement Unit’s strategic planning by putting forward evidence based ideas for improvements to the Unit’s functions
· Contribute to the Engagement Unit’s operational planning by planning specific tasks and projects as directed by the Engagement Manager
· Take and write-up minutes for key meetings within the Engagement Unit as appropriate
· Provide administration to the Executive and other democratic volunteers as appropriate, including facilitating attendance at conferences, events and relevant democratic meetings
· Conduct primary and secondary research on engagement functions as requested
3. Manage the College Engagement Coordinators and Engagement volunteers
· Arrange, chair and keep a record of management and all staff meetings within the team including performance reviews, appraisals, 121s and investigations
· Manage the team’s learning and development
· Delegate tasks where appropriate to the college engagement coordinators.
· Support college coordinators with events, activities and meetings
· Responsible for specific administrative support for democracy and campaigns volunteers including booking rooms and minuting meetings
· Support democratic volunteers
GENERAL DUTIES
In addition, all staff have the following general duties laid out in their job descriptions:
· To deliver and develop targets outlined in the Union’s strategic plan.
· To contribute and assist in the Union’s planning processes and the review of its performance and systems.
· Contribute to the positive and professional image of the Union and not act in such a manner as to bring the Union into disrepute.
· To observe and uphold the requirements of the Union Constitution and act at all times in accordance with policies including equality of opportunity.
· To undertake your own typing, filing, photocopying etc.
· Undertake any other duties appropriate for the grade and responsibilities of the post that may from time to time be reasonably requested.
· To take ownership of, their Induction, Personal Review Programme, Departmental Staff Meetings and be responsible for carrying out duties with full regard to the rules, policies and procedures and conditions of service contained in the Staff Handbook, and within Departments of the Students’ Union.
· A condition of employment is that all staff are expected to assist in key events throughout the year e.g. Freshers and welcome festivals and any other key event, including elections, if necessary.
· Staff are expected to portray a positive image, both internally and externally of the Students’ Union by displaying high standards of service, integrity, punctuality, politeness and professionalism.
· Where you are required to work with volunteers you must support and manage them appropriately in line with the Students’ Union volunteer policy
· Environmental consideration and environmental best practice is the responsibility of all Students’ Union staff
· Any other tasks that would be deemed suitable within this role as directed by line manager

THE TEAM
There are six members of the team (in addition to you) who deliver a brilliant engagement function within our union. We have five engagement coordinators who work across UAL’s colleges to build creative communities and empower students to make change. The sixth member of the team is a democracy coordinator who delivers the democratic functions of the union as well as supporting our student council.
