FRX WEBPORT USER GUIDE

Webport is a powerful tool which allows the business office to produce financial reports and publish them to the web. This tool will continue to be used to provide supervisors with actual and budget data about their respective program or department throughout the fiscal year. The detailed instructions provided will explain how to access Webport from any PC on the Perkins network.

To access Webport you must first ensure you have Java on your PC. If Java is not already installed on your PC (or if your version of Java is not up to date) please open up your Web browser and go to www.java.com. Click “Free Java Download” from this site and Run the program to install Java on your PC.

Once the most recent verison of Java is installed on your PC, you should then have the ability to log into FRX Webport from within your Web browser using the following URL:

http://perk-apps2/frxwebport/Default.asp

Once you have completed typing the proper URL in the address bar of your Web browser and hit enter, you should see the FRx login page on your PC (similar to what you see below).

Once you have accessed the website, key in your username and password provided by the Business Office. If you do not know what your user name or password is, please contact Scott Kelly at extension 7614.

If you have completed typing in your user name and password, click log on.

Once you have logged onto the main site, you should see a repository structure similar to the one displayed on the next page. The Repository is where the Business Office will publish individual or groups of financial reports. If your Repository fails to show a report (the box is completely blank) click Repository at the top of the webpage and a list of reports should generate within the box.

The title of a report should provide some insight into what data can be found within each page. For example a report entitled “FY2015 September YTD exp summary,” contains your department’s FY15 actual expenditures through September. This report will also provide the FY15 budget totals. Almost all reports listed in the Repository will show some period of actual data in comparison to the respective fiscal year budget. If you have any questions on the reports in the Repository, or the data provided in the reports please call Scott Kelly (extension 7614) or Michael Lorenco (extension 7613).

To open up the report you would like to view click on a report title and another Web browser window should open displaying the desired report.

Note: Users may need to disable pop-up blockers for the FRX Webport site listed above. Pop-up blockers will prevent reports from opening properly. If you need help adjusting your web browser settings please contact Michael Lorenco (extension 7613).

Once the new window has opened, a report should appear similar to the one above.

Users will see a navigation tree on the left side of the new window (some reports may not display a tree). Users can navigate from one department to another using this tree. If a user does not have permissions to a certain unit on the tree an ACCESS DENIED message will appear in the center pane.

If a supervisor would like more information about a total displayed on the report they can click on the item’s title (colored in blue) and supporting detail should appear. A user can keep clicking down into more and more detail as long as the titles appear in blue. Some expense/revenue amounts may provide very specific data, like what company provided the good or service to the school. Please note this detail may not always appear. On occasion there may not be additional backup for a particular expense or revenue at the time the report is generated, therefore that data will not be provided. When detailed data is not available you will see an error message REPORT FAILED TO LOAD.

Reports can be printed by clicking the link “Click here for printer friendly version” at the top of the report. Once the link is click, a new window will open with various printing options which are described below.

·  Report Type

o  Gives you the option to just print the financial report, or addition account detail or transaction detail (you can only select one).

·  Report Range

o  Gives you the ability to print the selected department you are currently viewing, the entire reporting unit, or the entire reporting tree (many will not have this ability for security reasons).

·  Report Form

o  Allows you to select if you want the report to print on a portrait or landscape page layout.

Once you have decided what the proper print options are click submit and a preview PDF file of the report will be generated. You can save the PDF or PRINT the PDF by select the proper disk or printer icon. Once user is done viewing or printing report, the user can close the report window and will be brought back to the main Webport repository screen.

Once you are completely finished viewing reports on Webport you MUST click on the Logout button on the top left side of the Repository screen. Closing out of Webport any other way may cause temporary access problems for other users.
