Attendance Clerk Coordinator

PRIMARY PURPOSE:

To make sure that all functions of the attendance office are maintained and correctly entered.

QUALIFICATIONS:

Education/Certification:

High School Diploma Or GED

Experience:

Some office/clerical experience, preferably in a school environment.

Special Knowledge and Skills:

  • Proficient skills in word processing.
  • Excellent communication and interpersonal skills.
  • Effective human relations skills.
  • Proper telephone etiquette.

MAJOR RESPONSIBILITIES AND DUTIES:

  1. Process and maintain student attendance records.
  2. Inform principals of truant students reported by parents or local police department.
  3. Enters data in PEIMS according to standard procedures, prepares daily attendance list.
  4. Performs daily attendance lists, noting excused/unexcused status.
  5. Maintain attendance for ABLE and Zenith, and off-campus suspension students.
  6. Prepare reports for truancy officer.
  7. Enter PRS/LAPP attendance weekly after configuring amount of time each student was served the previous week.
  8. Prepare weekly reports for the district and disperse to appropriate administrators and staff personnel.

Attendance Clerk Coordinator

  1. May perform non-attendance related clerical tasks such as student registration/withdrawal.
  2. Make sure all attendance rosters are signed and corrected every three weeks.
  3. Do the attendance audit every six (6) weeks.
  4. Run new attendance rosters every three to four weeks.
  5. Make sure all tardies are cleared daily from attendance tardy summary sheets.
  6. Perm a file check regularly to make sure all rosters are properly filed.
  7. May perform non-attendance related clerical tasks such as registration.

Other

  1. Ability to perform multi-tasks with frequent interruptions.
  2. Ability to communicate with teachers, administrators, police officers, parents and students.
  3. Ability to answer phone calls professionally.

  1. Comply with district policies, as well as state and federal laws and regulations.
  2. Adhere to the district’s safety policies and procedures.
  3. Maintain confidentiality in the conduct of district business.
  4. Must be able to perform the essential functions of walking and interacting with students and/or district employees in the specific work site assigned (classroom or office setting).
  5. Demonstrate regular and prompt attendance.
  6. Other duties as assigned.

WORKING CONDITIONS:

Mental Demands:

Reading, ability to communicate effectively (verbal and written); maintain emotional control under stress; coordinate district-wide curriculum functions; interpret policy, procedures, and data.

Physical Demands/Environmental Factors:

Repetitive hand motions; prolonged use of computer terminal possible. Occasional district-wide travel. Occasional statewide travel; frequent prolonged and irregular hours.
