Brief Minutes of the Roundwood Patients’ GroupMeeting

Tuesday 12th September 2017 6-8pm at the Roundwood Surgery Waiting Room – Wood Street

Present: Arthur Lacey (Chair); Milind Tadpatrikar (GP). 4 members.

1.Welcome and apologies for absence: Arthur welcomed everyone to the meeting including a new member. Apologies were received from 5 members. Julie will be taking over as ‘minute taker’ for the Patients Group, initially working with Jan.

2.Minutes of meeting 5th July 2017: Rachel Shaw changed to Shore, the minutes were agreed as a true record.

3. Matters arising from the minutes (not elsewhere on the agenda):

Innovation Award: Milind was successful and was awarded an engraved vase. He thanked the group for nominating him.

‘Height, weight and blood pressure machine’ noted that this was not being used very much and everyone was actively encouraged to persuade patients to use the machine.

4. Chair's report: Arthur apologised for the mistake on the date for the meeting and asked anyone noticing errors to please let him know.

Lauren (a Group Member) had been successful in her application to Nottingham Medical School. A letter of congratulation to be sent to Lauren along with a with a book token for £10.

Arthur to contact the Headmaster at Brunts School about the support that Lauren had received from the Patients Group.

Acronyms: Arthur has added the list to the website.

Lack of GP appointments had been raised by a patient. Arthur had fed back about difficulties with summer holidays shortage of locums etc. Millindreported that all GP’s will be back at work the next day and everything should return to normal.

Banner: A banner has been created advertising the Patients Group.

Freshers Fayre at West Nott’s College: Arthur and Jean had attended this on 12/9/17 to promote PPGs. They talked to young people about the problems they had with primary care. Appointments had come up as a problem for them and advice had been given about seeing a nurse or a pharmacist as alternatives. With another PPG a DVD about PPG’s had been shown.

Appointments: A young person known who required regular antibiotics had had a problem with appointments in August. Use of‘on-line appointments’ was suggested as easier for the patient and frees up the phones.If a repeat appointment is required the GP can arrange it.

Facebook: to circulate information was suggested. Experience using Facebook had raised problems with unacceptable personal remarks on about surgery staff. Arthur will investigate.

Clinical Commission Group Annual Meeting:Arthur had attended.

Deficit: This is £39 Million for Mansfield and Ashfield and requires a saving of about 7.5%.

Cancer Care: The CCG had been criticised over cancer care and Arthur asked a question about screening and cancer rates. It was agreed that coordinated advertising of screening was a good idea.

Attendance: disappointment at the few members of the General Public that attended.

5.Treasurers report: The Treasurer was absent and her Report was deferred.

6.Practice matters and feedback:

Collaborative Working: Milindreported some changes to the Collective Working Project as another surgery had joined the group. Milind explained that the surgeries in Mansfield North & South are working collaboratively to ensure the hours 8am to 8pm are covered.

Roundwood would be continuing to make appointments between 6pm and 8pm on Tuesday and Wednesday evenings, alternating Friday evenings and Saturday mornings (there will be opportunity for patients from other surgeries to access these sessions and Roundwood patients to access similarly at other surgeries).

Roundwood would cover about 20 Saturday mornings over a year. Attendance is by appointment only and there will be 1 appointment for a patient from another surgery at each session. ThisExtended Hours Service will be advertised shortly.The timetable of surgery opening times to be distributed alongside the advertising.

There will a ‘bolt on’ system which will enable access just to the records of the patient being seen and any tasks, x rays, scans etc requested will be sent toto the relevant GP for action. Bank Holidays will not be covered but the hours will be made up.

The project will go live on October 1st and a trial run will be held on September 13th.

It was uncertain what other areas are doing.

Electronic Communicationwas discussed andArthur described the procedure for obtaining repeat prescriptions, making appointments and reading medical records electronically. He commended the service. He had logged on several times one day and at 10.30am there were still appointments available. It was suggested that the information be put on to the surgery TV.

The new staff are settling in very well. A basket of fruit for staff is delivered every Monday.

Best Practice Scheme: From September 1st 2017 GP’s will receive constructive peer to peer reviews of their referrals from other GP’s.

Vaccinations/Smear tests: The number of people havingthese have gone up at Roundwood.

Walking group:The surgery does not currently have a walking group but this could be looked at if a suitable volunteer could be found.

7. 2017 Flu vaccination campaign: Arthur suggested that the Flu Poster be put on the windows that are on the roadside so that people passing by could see it.

The Flu Day will be held at The Towers, Mansfield. Members volunteering on September 25th were asked to provide refreshments, push Electronic Communication and inform people about the Patients Group and ask people if they would like to be added to the mailing list. It was important to obtain an email address if they wished to be a member of the virtual group.

The British Heart Foundation and the Self Care Hub will be in attendance.

Christine (receptionist) has retired but has volunteered to help on Flu Day.

8.Wider health issues:

  • Mansfield South Federated Group: No information available.
  • P.P.Gs: The next PPG Chairs Meeting will be held on September 21st.
  • Meetings (C.R.P.): No information available.
  • CCG: The Clinical Commissioning Group will be holding a listening event and posters will be in the surgery
  • Sherwood Forest Hospitals: No information available.
  • Notts Health and Well-being Board: NH&WBB have completed a consultation and a draft copy is available.
