Job Purpose
  1. To support the Finance Manager to oversee the development, implementation, monitoring and supervision of the whole school financial and administrative function.
  1. In the absence of the Finance Manager take delegated responsibility for the planning, development and monitoring of support services and/or management of support staff, including coordination and delegation of relevant activities.

Administration
  1. To organise, supervise and undertake financial and clerical and administrative duties as required.
  1. To oversee the work delegated to staff is completed to a high standard.
  1. To organise the preparation of specific materials on behalf of the Head Teacher and Finance Manager, e.g. Financial Reports, SIMs reports etc
  1. To manage complex administration areas e.g. correspondence; administrative procedures including completion and submission of complex forms, returns etc., including those to outside agencies e.g. DfE
  1. Provide or resource administrative and organisational support to other staff, Head Teacher or Governing Body as required.
  1. Provide organisational and complex advisory personal support to staff, Finance Manager, Head Teacher and Governing Body
  1. To assist in the management administration of the whole School Finance function.
  1. To have responsibility for ensuring that financial returns and processing of financial information is completed to a high standard and in a timely and efficient manner.

Organisation
  1. To be responsible for the effective management of finances within School, including liaising with the Finance Manager and School Business Manager to ensure that all administrative functions in relation to finance are appropriately monitored
  1. To ensure that EFA and accounting standards are maintained and support the Finance Manager and School Business Manager in this process.
  1. To have overall responsibility for an effective, co-ordinated approach to financial administration
  1. To assist the Finance Manager with ensuring effective and efficient collection of monies for visits and dinner monies. Ensuring duties assigned, cover arranged and that staff have the skills and abilities for front line duties
  1. Take a lead role in planning, development, design, organisation and monitoring of support systems/procedures/policies in relation to the finance function
  1. Manage school licences and insurance in liaison with the Facilities Support Officer and in the absence of the Facilities Support Officer ensure that premises jobs are logged appropriately.
  1. Organise efficient procedures for the payment of petty cash.
  1. With support of the Head Teacher, take a lead role in marketing and promoting the school
  1. To have overall responsibility for the administration of financial management within the Finance team.

Responsibilities
  1. Line Management responsibilities where appropriate: inc. recruitment; induction; performance management (appraisal, identification of learning and development needs); mentoring, team meetings. In liaison and with the Finance Manager.
  1. Manage financial administration procedures.
  1. Develop constructive relationships and communicate with other agencies/professionals.
  1. Recognise own strengths and areas of expertise and use these to advise and support others.

Resources
  1. Be responsible for the selection and management of resources, including management of a budget and regular audit of resources.
  1. Take a lead role in the recruitment of support staff and in managing associated employment procedures.
  1. Manage financial procedures and processes and assist the Finance Manager with the management of facilities including premises, and associated income, building and projects etc.
  1. Take a lead role in management, planning, monitoring and evaluation of budgets.
  1. Take a lead role in procurement and securing sponsorship/funding.
  1. Manage service contracts.

Support for the School
  1. To work as part of a team and support the role of others at all times contributing to the overall work and ethos of the school.
  1. To undertake and conduct personal development through training and other learning activities including performance management, as required.
  1. Provide complex advice and guidance to staff, pupils and others.
  1. To ensure compliance with and development of policies and procedures relating to child protection, health, safety and security, confidentiality and data protection, reporting all concerns to an appropriate person.
