Aloha Quilting on the Beach® Participants,

Quilting on the Beach is almost here! Here are a few important last minute updates:

First, and foremost, we certainly want EVERYONE to have a wonderful time during Quilting on the Beach® February 2016 – our 7th annual February retreat. We want to thank you, in advance, for keeping that positive attitude for which quilters are famous. We will do our very best to accommodate each individual’s specific needs.

When you arrive at Quilting on the Beach®, you will receive a “welcome packet” which will include a name badge that should be worn at all times during the retreat. The welcome packet is ready for pickup whenever you can stop by the store. Included is a schedule with locations for each of the events and classes for Quilting on the Beach®. For those who may not have received their confirmation letter (by mail) – they will be available with your welcome packet.

Supply lists: Hopefully everyone has found the links, posted on our website (www.quiltpassions.net), which contain the supply lists as well as pre-class preparations if applicable. Here are a few other unique situations relating to a few of the classes:

1. Art “Shoe-Veau” (Sunday 2/7): We have some incredible samples in the store, for those who are still considering this class, and we do still have room for additional students. There are some specific recommendations relating to the shoes (which need to be purchased before the class) – so please let us know if you’d like to add this class so that the instructor can contact you with specific recommendations relating to the shoes.

2. Beaded Orchid Panel (Monday 2/8): Correction: No Sewing Machine Needed. This is purely a hand-class, no sewing machine is needed.

3. We know that many of you are fans of Millefiore paper piecing. Our local “Mille-Girls” would like to invite all Millefiore fans to meet on Tuesday 2/9, during the lunch break (12:15 – 1:15) in the Marina Room for show-and-tell and sharing of ideas.

4. Hawaiian Applique (Wednesday 2/10): This class starts at Quilt Passions in the King Kamehameha Mall – just above the hotel.

5. On Wednesday evening, there are two classes (“cell phone bag” and “polymer clay”) which will be repeated at 6:30pm and 7:30pm. If you are signed up for both, feel free to pick whichever class is smaller at 6:30pm, then attend the other at 7:30pm. If you are only registered for one, you may pick either session. If you are only registered for one, but would like to add the other class, you may do so for an additional $20.

6. Show and Tell Dinner: This is a wonderful opportunity to “wrap up” the week of classes. We have a private caterer who will be providing a wonderful chicken cordon bleu main course. We’d encourage those who haven’t already registered for this event to consider joining us (cost is $30.) It’s good food, socializing with new quilting friends, fun and games, as well as a chance to share a quilting project that’s special to you. This year the dinner will be held at the Kona Vistas homeowner’s association pavilion at the corner of Lako and “The Highway” (Queen Kaahumanu Highway route 11), directly behind the Chevron gas station located about 3 miles south of town. For those who need rides to the “show and tell dinner”, please let us know as we’ll begin coordinating ride-sharing and a shuttle system. We’d hope that most of those attending Quilting on the Beach (currently about 150) will join us for this wonderful and relaxing evening. A complimentary “Quilting on the Beach” engraved glass tumbler will be provided for those who attend which you may keep as a souvenir from the retreat. For those who aren’t able to attend the Show and Tell Dinner, we have a few extra engraved tumblers available in the store for purchase for $6.00 (only 1 per person, please.)

Special “Quiltsmart” demonstrations:

We are very excited to have Mattie from Quiltsmart here with her unique designs and techniques. She’s agreed to provide demonstrations at Quilt Passions, as folks are preparing to board the shop hop buses on Saturday morning, February 7th. She will also be providing a demonstration at 10:00 – 10:30, when Quilt Passions opens. Come check it out!

Mattie’s “Meet the Designer and Gadget Cushion” on Tuesday will be a complimentary trunk-show and demonstration as well. Those who have signed up and paid for the “gadget cushion” will continue with that project at the conclusion of the trunk show. Others may add the “gadget cushion” project for an additional $12.

Validated Parking:

For those parking at the hotel, there will be a special discounted $5.00 validation stamp at the desk in the Paddlers Room. Be sure to bring your parking ticket and feel free to stamp your parking ticket (either side will do).

Now, there are some logistical situations that we need to share with you. Because of the number of classes and events offered this year, we will be having the events in a couple of different areas at the hotel. So, let me explain the terminology and locations of each:

·  Imu grounds: This is an outdoor, grassy area just past the sandy beach at the King Kamehameha Hotel. The Imu pit is where the pig is cooked for a traditional Hawaiian Luau. There’s a sidewalk near the hotel’s pool which leads to the Imu grounds.

·  “Paddler’s Room”: This is a room (approx. 1,800 sq ft) used as an overflow for the hotel’s restaurant “Honu”. It’s a spacious room which can handle 60 – 70 people comfortably. It is located just across the walkway from the pool and poolside bar.

·  “Marina Room”: This is a classroom area at the other end of hotel pool. The doors to access this room are on the outside, near the pool. There are also double doors that lead to the interior of the hotel’s merchant area where the ABC store or Menehune Café are great options for a snack, a cup of coffee, or whatever.

·  Kona Vistas Homeowner’s Association Pavilion: (Site for Show and Tell Dinner) – located about 3 miles south of the hotel, details provided at #6 above. Please join us!

For those staying at the hotel who may have difficulty walking to Quilt Passions or Quilt Passions Continued – we will offer shuttle service (probably me, in our Ford Expedition) to/from the lobby of the hotel to the mall. Although it isn’t far (1/2 block), it is up a bit of a hill – and temperatures can be warm, even in February (about 82 degrees). The car is clearly labeled with a large “Quilt Passions” sign on the side of the vehicle and will be available, on request, at peak times (morning, lunch, and end of class each day).

Most classes will start at 9am until 12noon; then break for a 1 & 1/2-hour lunch period; then classes resume at 1:30pm until 4:30pm. Other special classes, meals, events, and presentations will also be held during the evenings and on Saturdays as indicated on the brochure. Once again, a daily schedule for all class and events, as well as their locations, is included in your welcome packet.

Please be sure to join us on Friday, February 5th for the – Opening Reception – 6:00pm – 8:00pm (Imu Grounds). Anyone who is registered for any class or event during Quilting on the Beach® is welcome to attend. We will have light pupus (Hawaiian appetizers) and we will introduce the instructors who are in attendance. We will have non-alcoholic options available, but bringing drinks from the poolside bar is also an option. This will be a fun, socializing opportunity. All are welcome to attend, just wear your name badge.

Sewing Machine Usage:

“Sewing Machine Usage” is the right to use any available sewing machine at any time. Sewing machines will be available in both the Paddler’s Room and the Marina Room. Sewing machines should NOT be taken from their assigned room at any time.

For those who might wish to use a rental sewing machine during the “Open Sew” period in the evening, but did not otherwise purchase sewing machine usage, the cost is $5 per evening. Once again, a Quilt Passions staff member will be glad to process your open-sew rental machine pass.

We are asking that you use only feet and bobbins provided with the rental sewing machines that you are using. Not all bobbins and feet are interchangeable. In the past, we’ve had many problems with rental sewing machines that turned out to be caused by a student introducing a bobbin or foot not compatible with the machine they were using. We ask your assistance and cooperation in this matter so as to avoid frustrations for everyone.

Those who have registered to rent a sewing machine should attend the “Get to Know your Rental Machine – in the Paddler’s Room at 7:45am on Sunday, 2/7.

Class Room Temperature

For classes in the Paddler’s Room, let me mention that the A/C is either “ON” or “OFF” and is not temperature controlled. We do our best to keep the temperature appropriate, but we would suggest that you bring a light sweater or light jacket just in case it becomes too cold. If we request the hotel to turn off the A/C – and it becomes too hot, it will take some time for the A/C to be turned back on. We don’t have direct access to the A/C controls.

Needs during Class

Basic supplies (such as cutting mats and rotary cutters, irons, etc.) will be available to share in each class. You may wish to bring some of your own favorite supplies (sewing scissors, seam ripper, etc.) but we have whatever you might need for purchase in the store. We will have a small “honor” system supply store in the Paddlers Room during the retreat for your convenience as well. For those who would like extra patterns, supplies, etc. – please take an “honor” slip and note the items (and prices) that you have selected. At the conclusion of class each day, please bring your “honor” slip to the desk in the Paddlers Room and we will settle your “tab.” – either cash or credit card can be accepted at the desk in the Paddlers Room. This reduces distractions during class.

Shop Hop Bus Tour – Saturday February 6th (we do have room for a few more to register)

Regarding lunch, we will be stopping at Lava Rock Café in Volcano village. If you would like to purchase a sub sandwich with chips and juice for $10 (cash would be best – price includes tax) – please - asap email or call the store if you would prefer: a) Ham and Cheddar; or b) Turkey and Provolone; or c) Bringing my own lunch. This is a very small café, so they would prefer that we provide them your pre-order so that the sandwiches will be ready when you arrive. We will be eating lunch while traveling on the bus toward Hilo – to help make our “round-the-island” tour as efficient as possible. Your assistance in keeping the bus clean is greatly appreciated – as they normally don’t allow food on the bus.

Therefore, (by Tuesday 2/2) we need your preferences (by phone or email) for the following:

  1. Which bus you’d prefer (we have a few, but always good to confirm)
  2. Early Bird (Leaves Quilt Passions at 7:30 AM)
  3. Middle Bus (Leaves Quilt Passions at 8:15 AM)
  4. Night Owl (Leaves Quilt Passions at 8:45AM)
  5. Lunch
  6. Ham and Cheddar
  7. Turkey and Provolone
  8. I’m bringing my own lunch

“Early Bird” bus: Meet at Hotel lobby at 7:00am, or Quilt Passions at 7:25am

“Middle” bus: Meet at Hotel lobby at 7:45am, or Quilt Passions at 8:10am

“Night Owl” (late) bus: Meet at Hotel lobby at 8:15am, or Quilt Passions at 8:40am.

Quilt Show Bus Tour – Saturday, February 13th

For those who will be joining us for the Quilt Show Bus Tour on Saturday, February 13th, please email or call the store with your lunch selection (included in price of the tour). We will be stopping at the “Manago” hotel for lunch. The choices are:

  1. Pork Chops (their “specialty”)
  2. Teriyaki Chicken
  3. Butterfish
