RI-ClubRunner Integration for District 9370

Advantages of integrating RI and ClubRunner data:

  • Updating club and member data through ClubRunner will automatically update RI’s database at the same time.
  • District officers will always have up-to-date information about the clubs and their members
  • The same applies to RI.
  • The District Treasurer’s accounts for District dues will be accurate, thus avoiding frustrating and time-wasting queries from the clubs to the District Treasurer.
  • The same will apply to RI’s Semi-Annual report and accounts.
  • District Directory information will be accurate and up-to-date – a situation hitherto unknown in most Districts.
  • The District Directory (in a variety of different formats) will be available to all Rotarians on-line and will be up-to-date.
  • Reduction in the amount of time spent by clubs on updating club and member data. Previously some of this would have to be done two or even three times – once for RI’s benefit, a second time for the District, and a third time for the club’s own records.
  • The fact that members can now easily check and update their own data could help reduce the load on the long-suffering Club Secretaries. It could also help avoid errors due to indecipherable handwriting and fading eyesight!
  • Members may select their own levels of data privacy, within the default parameters set by each club.

The RI-CR Integration process – two simple steps:

  1. The club’s current President or Secretary logs in in to RI’s Member Access area ( and notes ClubRunner as the preferred Partner Organisation.Wait 24 hours while RI processes your request.
  2. After that, the club’scurrent President or Secretary logs in to the D9370 ClubRunner admin area (

Life after RI-CR Integration:

After the integration process has been completed, all changes made to club or member data via the D9370 ClubRunner admin area (whether made by a club executive, or by the members themselves) will be passed across to the RI database.

However, it is important to note the following points regarding integration:-

  • There is no cost to any club – this integration process is part of the District ClubRunner facility.
  • At the moment, the integration of club and members’ data is (with one exception – see below) strictly a one-way process. That is, data updates are passed from ClubRunner to RI. Changes made in RI’s Member Access facility are NOT passed back to the ClubRunner database.
  • The implication is that after integration has been switched on, all changes to club and member data should be made via ClubRunner, and NO LONGER through RI’s Member Access as in the past.
  • Changes made in the ClubRunner database prior to the integration facility being switched on will NOT be sent to RI when the integration facility is eventually implemented – only those changes effected AFTER the integration will be sent to RI.
  • New members can be added in via ClubRunner. Their information will be sent through to RI who will assign an RI Member Number. That number will be sent back to the ClubRunner database within a few (seven?) days. This is the one exception to the one-way process mentioned above.
  • Members may be terminated via ClubRunner, and RI will be notified accordingly.
