Administrator: Project Monitoring and Evaluation

The Wholesale and Retail Sector for Education and Training Authority (W&RSETA) seeks to employ aAdministrator: Project Monitoring & Evaluation, who will report directly to the Executive Manager: Project Management Office and be based at the Head Office in Centurion.

Key Performance Areas will include but not limited to the following:

  • Provide overall administrative support to the PMO Monitoring Team
  • Provide overall administrative support to the PMO Business Unit as and when required
  • Make all logistical arrangements and coordination of the monitoring visits and meetings
  • Ensure compliance with SCM processes at all times, including PFMA compliance
  • Monitor the PMO budget
  • Consolidate travel re-imbursements
  • Take minutes at PMO and monitoring meetings
  • Attend to stakeholder queries and provide feedback
  • Developing and maintenance of an effective filing system
  • Manage the diaries of the monitoring team
  • Assist with preparation for audits (internal and external)
  • Provide secretarial support to the EM: PMO and Manager: PMO as and when required
  • Implement an efficient administration system in the monitoring Team
  • Coordinate efficient communication, information and documentation between the Head Office, Business Units and Regional Offices
  • Prepare monitoring site visit reports for approval
  • Ensure that project files are up to date and readily available with monitoring documentation (project files in soft and hard copy)
  • Create and maintain an efficient monitoring site visit database
  • Maintain and update the Project Management Office Library
  • Complete admin function relating to monitoring visits and PMO meetings
  • Maintain and control inventory for the monitoring team
  • Adherence, implementation and review of internal controls and risk management

Minimum Qualifications and Experience

  • A relevant post matriculation qualification (NQF Level 5 Office Admin Diploma)
  • 2-3 years office administration and/or secretarial experience

Required Knowledge, Skills and Competencies

  • Excellent interpersonal and communication skills
  • Highly computer literate
  • Call Centre exposure and/or professional telephone etiquette
  • Strong exposure to customer liaison
  • Strong organizational, planning, coordination and problem solving skills
  • High level of accuracy and attention to detail
  • Experience in data capturing
  • Strong project administration skills
