Big Lunch Food Festival Event 2016

Exhibitors/Traders Terms and Conditions

URGENT: Please read and note the following:-

1/ Exhibitors have a responsibility to take care of their own and other peoples’ health and safety whilst attending the Big Lunch Event.

2/ The organizers cannot be held responsible for damage to persons or property however caused.

3/ Please remember to bring chairs if required as these will not be provided.

4/ Trading times will be from 11am – 4.00pm only.

5/ The site will be accessible from 8.00am. If you need to set up before these times, please contact the organizers to arrange special permission.

6/ The nearest car park is at Duncombe Drive car park behind the High Street. ALL Town Car parks are free on a Sunday. Once you have unloaded your vehicle, all vehicles must be moved to the car park by 10am latest, no vehicles should be allowed in the High Street thereafter and can only return to the High Street from 4.30pm.

7/A standard pitch size is 3m x 3m, a larger pitch may be available if requested prior to the event taking place. We do have some ‘pre-erect stalls’ will include a sturdy traditional market stall frame with a roof cover but no sides approx. 8’ x 8’. They also include a large wooden table surface of 8’x4’. A hire charge of £5 will be applied to hire and must be clearly marked on the booking form and on a first comes basis.

8/ The organizers reserve the right to make alterations to the allocated space at any time prior to or during the day or leading up top the event. Stall space are allocated at the discretion of the organizers.

9/ There is limited power supply available on site so we need to know in advance of the event should you require any. We cannot allocate additional supply on the day. This will be made available only on a first comes basis. Access to electricity costs an additional £5 per day. No kettles or urns can be used within the supply. You must also supply your own leads to connect to the lamp post electricity posts which are 16amps at 110volts (anyone requiring 240 voltage will need to supply their own inverter/step up box).

10/ Toilets are available in the Waterbourne Walk multi-storey car park.

11/Please remember to bring chairs if required as these will not be provided

12/ Further information about the day and your pitch location will be sent to you closer to the event.
13/Any trader that does not comply with the above terms and conditions may be excluded from attending future events by Leighton-Linslade Town Council.
14/Any traders supplying their own stall must make every effort to ensure that the structure is safe and does not cause a danger to the public. All gazebos must have suitable weights as it will not be possible to use guy ropes. This must be clearly stated on your Risk Assessment form.
15/All exhibitors are required to carry out a risk assessment prior to the event. A risk assessment form MUST be completed and returned with your application in order to be eligible to trade.

16/Exhibitors, stallholders and entertainers attending the Big Lunch event MUST have their public liability insurance in place. This must be returned with your application in order to be eligible to take part.
