Post 1:Senior Administration Officer(Administration Head) SL 7 (Fixed term Contract 1 Feb 2015 – 31 Jan 2018)

Minimum Job Requirements:3- year Diploma or Degree in relevant field (Administration or HR or Finance or Supply Chain Management)

2 years’ relevant experience which includes supervision of sub-ordinates/managerial experience

Computer literacy – Microsoft Office software (proof to be provided)

Proficiency in report writing

Knowledge of/ and experience in compilation of budgets and budgetary controls

Very good human relations

Administrative skills

Valid driver’s license

Recommendations:Coltech training

Proficiency in Coltech will be an advantage

Responsibilities/Core duties:Finance:

Control over Campus budget expenditures and procurement in co-operation with campus manager

Monthly budget reporting to campus manager

Rendering assistance to campus manager regarding compilation of annual campus budget

Student Admin and Examinations Divisions:

Rendering assistance to managers of Awards Function as needed

Oversee the preparation of halls and venues for registrations in co-operation with Academic Heads and Ass-Dir Student Admin

Oversee the preparation of venues for examinations in co-operation with Academic Heads and exam officers

Human Resources:

Management of leave of support staff per campus

Drafting and annual revision of job descriptions in co-operation with the HR division

Execution of performance appraisals of sub-ordinates quarterly and bi-annually

Oversee the development of campus support staff in co-operation with SDF

Supervisory duties:

Management and control of support staff per campus

Facilities:

Oversee the management of the College fleet for the campus

Oversee the maintenance of campus facilities

Oversee the control of moveable assets; the maintenance of the asset register (electronic and manual) and annual stock taking in consultation with the Ass-Dir SCM

General management:

Report to the campus manager on a monthly basis

Attend all meetings as required

Salary level:Remuneration package is R120 p/h all inclusive. Maximum of 740 hours for duration of contract

Working Conditions:The incumbent will be working 4 days a week, 5 hours per day for 37 weeks

Minimum Job Requirements:Grade 12 or equivalent with 2 – 5 years’ relevant experience that includes experience in learnership administration (compilation of

POE s; data capturing)

Computer literate (proof to be provided)

Drivers’ licence since the incumbent must travel between delivery points

Recommendations:N6 Certificate (preferablyManagement Assistant or Business Management) or Tertiary Qualification

Specific skills needed:Being able to work under pressure

Good communicative skills

Skills in diversity management

Ability to work independently

Willing to travel on a regular basis to attend meetings

Duties:Data capturing

Filing of leaners’ POE’s and Certificates.

Type reports, Memos and letters as needed

Handle all enquiries

Uploading of student data on systems

Subject matter expert with regard to relevant subjects

Registration as assessor

Driver’s license

Recommendations:Registration as moderator will be an advantage

Planning of educator work allocation in the division and drafting of work plans

Prepare and deliver lectures to students as per work plan (18 hours per week) on Wednesdays and Thursdays

Manage own class attendance records, assessments; marks and all other related duties

Maintain discipline among students

Prepare and manage POA’s and POE’s

Manage and control educators in the division including regular monitoring as per year plan; the submission of assessments and all other related duties

Manage and control of LTSM in the division

Management of leave of educators in the division

Control over the movement of educator staff in the division and monitoring at all sites of delivery (Mondays; Tuesdays; Saturdays and during school holidays as per work plans)

Ensure quality service delivery in the section and adherence to College and subject policies

Report on monthly basis to the line manager on the prescribed format

Liaise with students and parents and external stakeholders

Attend meetings as needed
