Directors,

Thank you for your attendance to our UIL contest. Below you will find some information that will hopefully assist you and your needs for Thursday April 12, 2012

Bus Drop Off –

•Student drop off will be on the East side of the school. You will see the marching band tower at that location.

•Equipment truck – If you are using an equipment truck, they may unload by the loading dock on the west side near the band hall. Please make sure that everyone is quick and quiet so that the band in the Band hall can focus on Sight-reading.

•Entering the school for Directors and Students –

•Directors please make sure that you have your id on so that our security and administration can know who you are.

•Please look for the contest office and drop off your scores and other forms.

•Please make sure the kids are quiet as they enter the school. In addition to the contest going on, classes at TCHS are still in session. Please help us monitor this situation. Follow the guide and line up in the hall waiting to enter the Warm up area.

4. Warm-up Room (Theater Black Box) Please be ready to enter the warm up room at your time. If you are late, we will ask you to exit at your time to prepare for stage. Our monitors are doing what they are instructed to do. There will be a set amount of chairs and stands for the warm up room. Students may bring wire stands or share. We will need to make sure we have enough for the stage and sight-reading room.

Bring your own tuner.

Stage Performance – We will move you to the ready position 5 minutes before your time to keep the contest going. Please watch your time when doing this. You will enter the stage doors that are South of the band room. (Reminders below)

•3 sets of scores with school name and measures numbered

•Set up chart – please indicate the amount of chairs and stands per row.

•Set up crew – Please have your percussion and a few students to assist with this so that they have a chance to set up how you want it. (Time is important)

•Risers – We have 4 small and 3 tall risers. Please indicate the use of your risers on your chart. NOTE: If you require more risers, you may need to bring some for this event.

•Shells – sound shells will be used for this event.

•Please see notes about percussion. Please make sure that you bring your own smaller items and please keep track of them.

Sight-reading – You will need to exit the stage through the north doors (in the back of the stage) and be prepared to enter the sight-reading room, which is the band hall for this event. We will have students to show you which way to go in case you are not sure. Please review all rules before contest day and make sure you get the allotted time for your sight-reading level.

After its over – Follow the monitor back to your buses. Directors will need to go to the contest office to check out and make sure that they have all materials before they leave.

Other adults assisting - Directors, please educate all adults assisting with your group that we have students who will be helping during the day. Remember that they are kids and at times do exactly what we tell them. Please encourage all to be patient and respectful to our student helpers. If a situation occurs and you can solve, please do so.

Parents watching the event – We certainly will entertain parents coming to this event. Please instruct them to check in at the office. They will need to be ready to have their license scanned. No video taping will be allowed during the sight-reading process.
