GUIDELINES ON COMPLETING THE UNV FINAL CHECKLIST.

  1. Meeting with UNV Programme Assistant

Requirement:Meeting with UNV Programme Assistant one-month prior to last working day.

In order to complete the UNV Final Checklist, please arrange a briefing meeting with a UNV Programme Assistant at least one month prior to your last working day. Please note that final payments (Resettlement Grants; Final VLAs) can only be paid to the UNV on the satisfactory completion of the UNV Final Checklist and its receipt by the UNV Unit with sufficient time (a minimum of five working days prior to the UNV's last working day) to process the necessary payments.

  1. Host Agency Department Clearance

Requirement:Name & Signature of Officer in Charge of Project.

Officer in charge of your project must sign to certify that all equipment/any other resources

provided to the UNV during the contract period have been returned to the project in a

satisfactory condition.

  1. Bank Clearance

Requirement:Stamp, date, name & signature from Bank

The Bank Manager must stamp and sign the UNV Final Checklist to confirm that as of a stated date the UNV had no outstanding financial obligations.

  1. Rental Clearance

Requirement:Name and Signature of Landlord

The UNV's landlord must certify that all costs associated with the rent of property have been met.

  1. UNV Self-Clearance

Requirement:Name & Signature of UNV

The UNV must self-certify that all financial obligations in country have been met. This includes all payments for utilities (electricity, water, telephone) and any other costs incurred (such as medical bills, etc).

7. UNV Office Clearance

Requirement:Name & Signature of UNV Programme Officer

The UNV Programme Officer must certify that the UNV has completed the following:

 final or end of assignment report need to be completed on line at the address and have your

supervisors complete online comments as well.

 debriefing meeting with UNV Programme Officer completed

 UNV identification/Vanbreda cards returned to UNV Programme Assistant

  1. UNDP Finance Administration Clearance

Requirement:Name & Signature of UNDP Deputy Resident Representative (Operations)

The UNDP Finance Manager must sign the UNV Final Checklist to confirm that the UNV has no outstanding financial obligations with UNDP. The UNDP Finance Manager should be requested to sign the form after the UNV has received the necessary stamp and signature from the Bank.

  1. Other Clearances as Required

Requirement:Subject to individual situations

Subject to the particular situation of each UNV, there may be additional clearances that are required. These will be notified to each UNV on an individual case-by-case basis.
