MINUTES

The Meeting was brought to order by President Randy Whitehead at 10:10 am.

1. MOVED by Ingeborg Pot (Stirling): Adoption of Minutes of the Spring Meeting, May 4, 2015 in Taber. SECOND: AJ Bergenhenengouwen (St Mary’s). CARRIED

2. Voting Strength: 31 (27 administrators, 4 school reps) 1 guest

3. Business Arising from last Meeting

1.  Zone Commissioner changes – 4A BB

2.  Pay-It-Forward Scholarship winner: Josh Cruz, St Mary’s, Taber. Congratulations to Josh and to all of the entrants.

3.  AIAAA Zone Rep needed – no volunteers

4.  Provincial T&F Report – Marg thanked the school reps who volunteered as officials at the 2015 Prov Championship in Lethbridge and presented the financial report. Zone profit was $2,500 and a legacy of 12 javelins ($2,700)

5.  Curling: MOVED by Darryl Christensen (Magrath): South Zone submits an NofM for “removal of restrictions on players on school curling teams who have qualified for Junior Provincials” to ASAA for the Spring AGM. SECOND: Toby Boulet (Winston Churchill) CARRIED

4. Communication:

1. Report: John Paton, ASAA Executive Director sent a written report, which included details on the transfer policy, CIAAA courses, commissioner positions opening at the end of the year. Email Marg for a copy of his report.

2. Send ASAA, AIAAA and Zone fees to Marg in one cheque, payable to SASAA. DO NOT send to ASAA. This is occurring more frequently, especially cheques made payable to ASAA instead of SASAA, so please address this with the person who writes the cheque.

3. SchoolCoach Ambassaors – Terry Hanna, Duane Konynenbelt. Neither were able to attend the meeting, but can be contacted at and

4. New school: Brant Christian, Brant AB will be competing in the North District.

5. Financial Statement – 2014-15 Year-End statement was presented by Marg. MOVED by Dave Rozdeba (Eagle Butte): to accept the Financial Report as presented. SECOND: Ingeborg Pot (Stirling) CARRIED

6. AIAAA Report – Dave Rozdeba gave a verbal report highlighting recent actions at CIAAA. 4 on-line courses will be offered during exam week (Jan 18-21). Information on the CIAAA web site. Dave discussed a need for course instructors and the requirement of 790C to qualify. Many delegates indicated their interest and it was proposed that we offer 790C in February. Marg will contact Tyler. [NOTE in Jan: Tyler felt 710C, Current Issues in Canadian School Sport would be relevant to more delegates, so that course will be offered in Feb. 790C will be available at the June Conference in Edmonton.]

7. Reports / Information on Zone competitions:

1.  T&F report – Marg gave a verbal report. New this year was the inclusion of para-athletes and Special Olympic athletes.

2.  RUGBY report – Toby gave a verbal report.

3.  GOLF: Marg gave a verbal 1A/2A report and 3A/4A report

3. CROSS-COUNTRY: Oct 7 at Echo Dale. Entries to Marg by Thursday, Oct 1, Hy-Tek Team Manager OR Excel

4. VOLLEYBALL: Zone banners and medals are to be picked up by hosts at this Meeting

8. ZONE NOTICES OF MOTION:

1. PARTICIPATION RIGHTS OF MEMBER SCHOOLS

CURRENT: C. Schools having registered players on ASAA registration forms are expected to participate at District and/or Zone competitions. Teams withdrawing from competition within seventy-two (72) hours of the beginning of that event are required to pay the entry fee as set by the competition host.

PROPOSED: C. Schools having registered players on ASAA registration forms are expected to participate at District and/or Zone competitions.

i. Teams and individuals withdrawing from competition within seventy-two (72) hours of the beginning of that event are required to pay the entry fee as set by the competition host.

ii. In the event an individual fails to show for golf, cross country, badminton or track&field, the offending athlete’s school will be penalized $50 per no show to a maximum of $250

iii. The Zone Executive will have the sole discretion to impose the penalty based on the rationale provided by the school for the late withdraw or no show.

ADD: 6. Teams and individuals qualifying for Provincial competitions are expected to attend Provincials. In the event they cannot attend, they should notify the Zone host immediately at the competition and the next qualifier will be given the opportunity. If circumstances arise later that the team or individual is not able to fulfill their commitment, the school must notify the Zone Secretary immediately and the next qualifier will be contacted. The deadline for the Zone Secretary to continue to notify qualifiers will be 3 days prior to the Provincial competition unless further restrictions are in place by the Provincial host. Teams or individuals not attending Provincials may be subject to ASAA penalties at the discretion of the ASAA.

10. New Business:

1. Zone Award of Merit – Oct 1 nomination deadline

2. LCI grade 9 team playing in JV Tournaments. Coaches of strong grade 9 teams can apply to enter JV tournament at the discretion of the host. If accepted, the host shall notify the schools of teams already entered.
