BOARD OF DIRECTORS MEETING

THE FOLLOWING TOPICS WERE DISCUSSED AT THE MEETING:

TRIP FETTER – PLANS FOR HIS PROPERTY

Trip Fetter explained that there were a lot of limbs and debris on his property when he and his family moved in. He has cleaned out most of it and put grass in some areas. There is an old bridge on the property which is in hazardous condition. He would like to repair part of the bridge. He would also like to get the fountain in functioning condition and do some landscaping in that area. The board approved his plan.

STUART WILSON – PARAGON MANAGEMENT GROUP

Stuart Wilson from Paragon Management Group explained to Board members what a contract for management services entails. Some of the services include arranging the annual home owner meeting, monthly property visits, assist in procurement of contractor services, collection of assessments, assist in the resolution of Owner issues reported, assist in developing an annual budget, contacting Owners by e-mails about snow removal and notices of other matters, attend some Board meetings and submit a monthly report to the Board. The charge for these services depends on how many Board meetings per year in which Paragon is involved. The charge is $4.50 per home per month for quarterly or fewer meetings. The approximate cost for the year would be $6,318. There would also be a charge pf $40.00 per month ($480 per year) for routine copies and postage as defined by Paragon Management Group. The total fee per year including the quarterly Board meetings and the copies and postage fee would be approximately $6,798. Special mailings and newsletters would be an extra fee.

ED PALMITER - CONTRACT

Ed Palmiter stated that it would be better if we contracted with Paragon rather than with him. A motion was made to contract with Paragon Management Group by Mark Snyder and seconded by Cynthia Dykes. The Board voted unanimously to contract with Paragon. It also voted unanimously to have quarterly Board meetings with Paragon and monthly Board meetings with Board members only. The Board also decided to meet with Stuart Wilson on November 21 to see if we can begin the contract on December 1 for one month and then contract for services annually beginning January 1, 2015. This would ensure a smoother process with billing 2015 assessments and conducting the annual Owner meeting.

SNOW REMOVAL

Angie Schell distributed a copy of the Snow Removal Contract with Greenscapes. She explained that we have automatic snow removal if the snowfall is 2 inches or more. Under icy conditions we have automatic service for any inch amount. Automatic means we do not have to call for services. She asked Cynthia Dykes to be in charge of calling Greenscapes from November 30 through December 10 if snowfall is less than 2 inches and we need snow removal.

SPEEDING

We are waiting to hear from Metro Government about the proposed speed bumps.

GEESE PROBLEMS

Steve Marcum, a resident, placed the light in the lake.

TREE HOUSE

Cynthia Dykes read the e-mail correspondence she received from Katie Haire. We gave the Haires 3 weeks to take down the tree house. Mark Snyder will check at the end of the three weeks (approximately November 28) to see if the tree house has been removed.

GENERAL MEETING IN JANUARY

The general meeting with home owners will be held on Tuesday, January 27 at 7:00 PM. We will ask Stuart Wilson to conduct the meeting.

MISCELLANEOUS

Cynthia Dykes asked the Board to keep future meetings to an hour.

Angie Schell stated that she hope to have the newsletter completed by November 30. She will e-mail a draft copy of the newsletter to all Board members as soon as she completes it. Mark Snyder will print the newsletter and distribute it with the help of Cynthia Dykes and Nancy Beck. Included in the newsletter will be articles about snow removal, Paragon Management Group and information about Board actions regarding some resident concerns.
