Location:

This year’s Section Conclave will be held at Camp Augustine near Doniphan, NE. The address and directions for Camp Augustine is below:

Take Exit 314 off of Interstate 80 (there are 3 Grand Island exits, this is the second one from either direction). Go north for less than a half mile and turn west on Camp Augustine Road.

Camping:

Each lodge will be responsible for providing enough tents to house all people in their lodge contingent. Each lodge will be placed in campsites around Camp Augustine.

Camp hosts and guides will be provided. They will guide delegates to campsites, escort the Lodge Chief and Lodge Adviser to registration, and be available throughout the Conclave to provide assistance requested by lodges. As always, the buddy system will be applied when touring camp.

Vehicles will be allowed to park in the parking lot. No vehicles will be allowed to enter the actual camp. Gear transportation will be provided.

We will provide housing for VIP delegate and section officers.

Anyone needing special housing should complete the Special Housing Needs Form found in this packet.

Meals:

Meals will be provided by the host lodge. Two cracker barrels, two breakfasts, one lunch, one dinner will be served at conclave. Anyone with special dietary needs should complete the Special Dietary Needs Form found in this packet.

Risk Management:

Tour Permits

Chapter four of the Field Operations Guide of the Order of the Arrow states that “Lodges must initiate and file appropriate tour permits in accordance with BSA policies and procedures.” All lodges should file a tour permit with their local council office.

Health Forms

One copy of each participant’s health form must be given to the Medical Coordinator at check-in. Each Lodge’s leadership should also keep a copy of the medical form for their own records. The health form must have Parts A and C filled out at the minimum. The physical form will provide the necessary information for the Conclave health staff in case of illness or injury of a participant, including consent for treatment by the participant or parent/guardian. The health forms will be returned to the lodge upon check-out.

Accident & Sickness Liability Insurance

BSA accident/sickness insurance and liability insurance is purchased by the Section through the Central Region, Boy Scouts of America for the duration of the Conclave. The price incurred for insurance is included in the Conclave participant fee.

Conclave Guidebook, Information, and Communications:

A guidebook for each delegate will be included in the lodge registration packet given out at check-in. It will include the Conclave agenda, camp map, code of conduct, training schedule, and activity information. In addition to the guidebook, a daily newsletter will highlight events, Arrowmen, and facilities of each day.

Trading Post:

Tatanka Anpetu-Wi Lodge will operate a trading post that features non-Conclave items related to our lodge and council.

We will be doing pre-orders of Section items (including T-shirts) and very little extra will be ordered.

Trading Post will be open during the Conclave.

Registration:

The fee for registration will be set at $35 per person if registered by September 1, 2010. The registration fee after that is $45 per person. Lodges are fiscally responsible for the total fees for their guaranteed number of delegates, even if fewer attend. Fees paid in advance may be transferred to an alternate delegate, but will not be refunded. Delegates in addition to the guaranteed number may attend and fees will be based on the payment schedule set forth above.

This year we would really like to encourage all members of the OA in each lodge to come and have a great time with us and gain more experience that you can share with your brothers in Scouting. Every year we have a new Section Conclave with a new theme. This year’s theme is “The Safari”, so we would like to challenge you to see if you have what it takes to be a Safari guide or if you will crumble under the pressure of your Safari competitors.

Camp Augustine

The Section Rules, which govern administrative aspects of Section operations, contain specific requirements for Section Officers. Section Officers need the backing and support of their home lodges and councils in order to carry out their assigned duties and responsibilities. All Section Officers and appointees must meet the following eligibility requirements:

1.  A registered member, in good standing, of the Order of the Arrow and Boy Scouts of America in a council within the section, who has the approval, in writing and in advance of being nominated, of his council’s Scout Executive or designee.

2.  Younger than 21 years old during the entire term of office.
