INVENTORY OPERATIONS SPECIALIST

POSITION OVERVIEW

The staff member that oversees all mailing, shipping and receiving for the Tri Delta enterprise. Maintains inventory for merchandise and Fraternity supplies. Serves as the Ritual expert for all Fraternity events. Provides exceptional customer service and trains/assists all staff with mailroom operations.

INVENTORY MANAGEMENT

Manage inventory levels for the Fraternity, Tri Delta Shop and the Life Loyal Program.

Responsible for ordering and maintaining inventory levels for all office supplies.

Manage website inventory levels as merchandise is received and sold, and audit using QuickBooks.

Fulfill all in-house merchandise requests.

Work with merchandise operations manager to develop initial stockroom distribution and flow plans.

Assist with coordination of Tri Delta Shop yearly inventory audit.

Assist in pricing updates for all products sold based on QuickBooks reports.

Work with Merchandise Team to ensure support of feature space, promotional activities, highly seasonal/trending product and overall department strategies.

SHIPPING & RECEIVING

Oversee that all shipping needs are processed in a timely manner for Tri Delta Shop, Life Loyal and Fraternity.

Process all online orders by pulling items, verifying quantities and posting packing slips and receipts.

Manage the fulfillment process for all new chapter start up supplies.

Track packages and place claims for lost orders with FedEx for customers for all Fraternity shipments.

Responsible for identifying the most cost effective mode of shipping for all orders processed.

Maintain relationship with shipping partners.

TRI DELTA EVENTS & PROGRAMS

Manage the inventory levels and oversee the shipment of Tri Delta Ritual equipment.

Serve as the lead for setting up and coordinating all parties in the execution of Tri Delta Ritual at Fraternity events.

Coordinate and manage shipping log of 300+ boxes to ensure all necessary items are packed and accounted for Tri Delta Shop and Fraternity conferences and Conventions.

Coordinate and manage, annually, over 60 shipments for the “Shop in a Box” program. Ensure “Shop in a Box” orders are pulled, inventoried and shipped accordingly.

Responsible for auditing the return shipments of “Shop in a Box” orders immediately upon receipt.

Serve on the Road Trip Team as assigned.

MAILROOM MANAGEMENT

Responsible for daily mail.

Coordinate the packaging, addressing and scheduling of all Fraternity mailings.

Maintain mailroom equipment (postage meter, etc.).

Educate and assist staff with mailroom equipment and mailings.

Maintain upkeep of warehouse, mailroom and storage room.

Responsible for sending weekly communication and mail to all remote staff, consultants and volunteers.

Supervise part-time merchandise associate(s) schedules, projects and duties as assigned.

CUSTOMER SERVICE

Assist walk-in customers with on-site inquiries.

Assist with the check-out process for on-site customers.

Communicate with customers regarding orders with inventory stock issues.

Provide exceptional customer service over the phone.

JOB SPECIFICATIONS

Four-year degree required

Intermediate knowledge of Microsoft Office

Must be a member of Delta Delta Delta

Be able to lift no more than 50 lbs.

Climb ladders and stairs with ease

Can stand for 6 hours a day doing physical activity

Can stand 8-12 hours during conference and events, with breaks

Load and unload merchandise from vehicles

Drive large vehicles

Moderate to heavy travel during peak season

QuickBooks knowledge preferred

WordPress knowledge preferred
