  1. One Stop
  2. “What is One Stop” should be highlighted more and should not be under “Contact”
  3. Faculty calendar is the same as Student calendar for now; once the term starts, it will change; Marianne suggested that a 3 term calendar be used. A link to the University calendar should be added as a third tab so they can see the whole calendar.
  4. MVRC question will be added to the FAQ with a link
  5. Under “Date of Birth” there are two boxes instead of 3 boxes (month/day/year)
  6. Individual phones numbers are not included in the site for staff members
  7. Web cam in One Stop lobby, the login promptshould be added (guest, onestop); it should be accessible to everyone
  8. Banner photos will be added to the site
  9. Cost of Attendance will be changing in the next two weeks, but 2010-2011 data should stay on the page as opposed to cutting the link off.
  10. Site has a massive Forms page
  11. The aid year in loan forms in the banner needs to be changed
  12. Student Affairs website should have a link to the Financial Aid page
  13. Marianne suggested that since Bright Futures is so significant, it deserves its own prominent place. Jim Owen stated a landing page could be created for Bright Futures.
  14. Marianne proposed addingthe Registrar, Megan Kuehner’s, contact information to the page
  15. Scott had confusion about the left hand nav. If there are three links there and you click on one, you are sent to another site and the other links disappear; so you do not know where you are. He thought that if you use left hand nav, it is for your site and using the left hand nav for external links makes this confusing.
  16. Marianne did not see the relevance of having ACE on the One Stop website. Jim suggested adding a warm button to the home page which links to the advising landing page.
  17. Lucy will check to see how Jeannie Middleton prefers to be listed on One Stop; either UNF Parents Association or Parent Family Programs
  • Motion to approve site with recommended changes and checking to make sure that all content follows the UNF Style Guide, Seconded by Marianne Jaffee, all in favor, motion passed
  1. Enrollment Services
  2. Deb Kaye gave feedback to omit the calendar
  3. Banner photos will be added
  4. Pictures of staff will be added eventually
  5. Annual reports for 2008-2009, 2009-2010 will be added once they are found
  6. Log in for Systems Request should not be on the external website but on a portal; if they are not moved to My Wings, they should be moved off the left hand nav and marked “For Staff Use”
  7. The organizational chart, which is a complicated structure, is missing from the site. Also, the org chart does not show a name of who is over the unit. It is basically how Enrollment Services functions rather than who is in charge
  8. Financial Aid should be emphasized on the site and could be added to the right hand side, but it will direct them to One Stop
  • Motion to approve site with recommended changes and checking to make sure that all content follows the UNF Style Guide, Seconded by Lucy Croft, all in favor, motion passed
  1. URL Approval for
  2. OIRA/bessie would be the temporary URL which is easier than remembering bcsse
  3. Indiana University sends a letter for students to logon to a site to complete the survey; we don’t have the latitude to rename this
  4. Surveys will be on a recurring basis and faculty will push students to complete them
  5. Students will receive emails telling them to complete the surveys; they really do not have to remember either bessie or bcsse
  6. bessie or bcsse is a branding issue
  7. There was discussion that if OIRA wants the address, it is not sure if migration will be completed in time. Bessie needs to be done right away since the campaign starts now. Ads will start running on the shuttle busses, so we cannot put something out there that is not live. Judy Miller is building a Bessie page that will have to be put on an Osprey page for the time being. It should be migrated in one spot and not have to redirect. Judy states that the link needs to exist from 9/12 – 9/30 or a week or so later if approval is delayed. It’s too close to promise that this site will be up in CMS. The best thing is to build a Dreamweaver site at this address and move it over. The url would be: Unf.edu/bessie
  • Motion to approve this OIRA this site and the future site, Nsse, with recommended changes and checking to make sure that all content follows the UNF Style Guide, Seconded by Lucy Croft, all in favor, motion passed
  1. Business Justification from Undergraduate Studies for a Friendly Alias
  • The current page for the Osprey Maps program is Osprey Map Program.aspx.
  • It would be preferable for this URL to be shortened to
  • Motion to approve site with recommended changes and checking to make sure that all content follows the UNF Style Guide, Seconded by Marianne Jaffee, all in favor, motion passed
  1. Student Affairs Migration Schedule
  • There are three sites left: Career Services, Campus Rec, and International Center/FLAWI/ELP. There are minor things to be changed. Rick Roberts is working on Career Services. He has been trained to do the migration. Sharon stated that Lucy should review every page before it comes to Maria to be sent for review. Campus Rec still needs work. Ernie is going back on as a full-time C-tech and becomes a consultant for questions to help finish International, Campus Rec and Career Services.
  • The Housing page does not look like our normal pages. Sharon stated that some things are portals and that is alright, but the other pages, like important dates, should be in CMS with the same look, etc. Dimitry stated that the way the page is now it would not migrate. They have branded their site to look like the CMS. The standard footer is not on the site, the ADA information is missing along with emergency information, and the font is different. Sharon’s recommendations are to have the main landing page look more like the CMS page, have the footer like the CMS, and to make sure you can search the entire university website. Dmitriy can help them with this.

ACTION ITEM –The three Student Affairs sites: Career Services, Campus Rec

and International/FLAWI/ELP will be reviewed at the August 18, 2011 meeting.

  1. Athletics
  • Sharon reported that this site went live with their new website. She asked Jamie to pull up the old minutes to see if everything was approved by the IPC. They were supposed to get with Marian to make sure that the look and feel was the same as the CMS pages, and they did not get in touch with her. We required them to be ADA compliant. The header and footer do not look like the CMS header and footer. It was also asked that their search button be able to search the entire university. Lucy thought that Athletics was going to be late in the migration process because they were under contract. They came to the IPC and had to present their business justification as to why they could not be in CMS. Dmitriy’s comments in the minutes stated that there were some things that would not work in CMS. The minutes stated that it was approved under the condition that it mirrored our website, with the same header and footer, and they would have to work with Marian Watters before the reveal. If Marian stated it was fine, it did not have to come before IPS. If not, it would have to come before IPS before the site goes live for approval to go live. This is the first time that a site has not followed the conditions to approve before going live. Brian Morgan’s email to Sharon only addressed the issue of the slow loading, and he stated that it was our fault and that it worked fine on everyone else’s computer.
  • Comments about the site
  • This site takes a long time to come up.
  • The UNF in the banner is so small whereas the North Florida is so large
  • headers and footers are not CMS
  • Fonts are different and the site is confusing
  • Needs to be ADA compliant

ACTION ITEM –IPC needs to send a response to Brian Morgan stating that they

did not address all the points. It was discussed at the August 4th IPC meeting

that the issues need to be changed before a certain timeframe. However, we

will wait until an answer is received regarding ADA compliance.
