How to Play Videos During Your WebEx Session

In order for a video to be seen and heard at the distant site properly, a video must be properly set up with PowerPoint. Here are step by step instructions.

1)Download the WebEx Universal Toolkit found on the DHMC WebEx page ( under Downloads. You’ll need Admin Rights to do this.

2)Open PowerPoint

3)Create a new slide for your video to launch from.

4)Look for ADD INS at the top of the toolbar.

5)Click on the WebEx on the Menu Commands.

6)Now comes the hard part!

7)We recommend you use videos done in Windows Media for general video playback. These videos should sit on our server in order for the videos to play smoothly to your WebEx audience. Other videos types such as flash can be played but they will require the audience to click PLAY.

8)If you are playing a Windows Media video click on the Insert Video Object icon. Type in or paste the url where the video sits on our server. Click OK and then checkmark “Start Playback Automatically …” and “Full Screen Display.” The video will then start automatically when you click to this slide.

9)For FLASH – Click on Insert WebPages. Type or paste in the web page where your video resides. During the presentation, the location will appear on everyone PC. However, they must press the PLAY icon in order for the video to appear.

10)YouTube – Copy the YOU Tube link. On your PowerPoint click on Insert WebPages. The YouTube stream will start automatically and play for everyone when you go to that slide.

11)Test you playback but starting a WebEx session with a friend. Open your PowerPoint using the “Present A Document” method. You should be able to click through your PowerPoint and show your videos. You friend should be able to see and here the videos clearly. Videos that do not start automatically will require your friend to press the play icon on the page. This will be important to remember since you may need to make extra time for those people at the distant site to catch up to you if you started playing the video before them.
