CHEF DE MISSION

As part of Team Alberta and representing the Province of Alberta as the Baseball Alberta representative, you will work to ensure that all aspects of Team Alberta off field preparation and in-tournament activities; including athlete/coaches services, media relations, registration, team administration, and post-event reporting are engaged for a successful team experience. You will work with skilled, professional staff support from the National Body and other Chef de Missions from other provinces. This is an opportunity to play a key role in Baseball Alberta’s post-provincial system, with the intent to service our 2015 provincial teams and to witness a national or western tournament event first hand so that Baseball Alberta may utilize your insight to potentially refine potential future profile events in Alberta.

Position Description - Team Alberta Chef de Mission - Team Leader

The Chef de Mission is required to be at the National Championship and Western Canada Championship for the full duration of the scheduled Championship, leading and servicing the roster total of 20 members of Team Alberta. This requires an understanding of the off field aspects of the sport; policies and procedures of participating team; coaching certification requirements; anti-doping/anti tobacco policies and procedures; training and development regime of the Alberta athletes. The Chef is responsible for the tournament rules and guideline package for participating Alberta team and liaison with the Core Representatives from Baseball Canada/Western Canada Baseball Association and/or tournament host committee.

Responsibilities:

Chef de Mission pre-tournament responsibilities:

• Attend one Baseball Alberta “Chef de Mission” group meeting (mandatory) outlining roles
and responsibilities

•Attend Alberta planning meetings (mandatory) – approximately 1-3 meetings held during the evening and/or on weekends, prior to the departure of the team you have assigned from Alberta.

• Become familiar with Baseball Canada or Western Canada and Team Alberta rules, including Code of Conduct, Disciplinary Procedures, Policy against Harassment, etc.

• Communicate all information regarding the Baseball Canada/Western Canada, Host Organization and Baseball Alberta to your team management contacts and the Team Alberta coaching staff; off field questions, provide clarifications and handle problems as they arise.

• Gain a clear understanding of the tournament package for your assigned teams and all regulations that have an effect on competition including Baseball Canada/Western Canada protest, procedures and NATIONAL SPORT ORGANIZATION/ WESTERN SPORT ORGANIZATION governing rules.

• Be familiar with Team Alberta’s policy against doping and co-ordinate the delivery of anti-doping education seminar for the assigned team/ where applicable.

• Be familiar with and deliver a harassment education seminar to your assigned team.

• Be familiar with Team Alberta’s Athlete Handbook and deliver a seminar to the assigned team on the information contained in the handbook.

• Identify special needs and/or potential problems of the assigned team in advance of the tournament and resolve where possible.

• Provide the link between the Baseball Canada/Western/Host Committee staff/representatives, Media and the Alberta team contact/coach/manager.

• Assist Team Alberta’s managers with administrative requirements (e.g. team and athlete registration forms and distribution, travel arrangements, etc).

• Ensure/Confirm that all athletes, coaches, and managers of the assigned team meet Baseball Canada/Western Canada/Baseball Alberta eligibility requirements.

• Ensure that individual and team registrations are completed accurately and by the deadlines set by the National/Western/Provincial bodies.

• Ensure that coaches and managers are selected as early as possible and achieve the required level of NCCP certification.

Chef de Mission, during-tournament Responsibilities:

• Attend all scheduled Chef de Mission meetings.

• Attend coaches/tournament’ meetings. (Maintain a positive relationship with the media and represent the Alberta team in the event of any incidents)(Bring a copy of all core important team information and correspondence with you to all meetings)(Know the key transportation routes and locations to the Alberta team practice and competition venues)(Meet your managers/coaches to discuss/re-enforce your working relationship together while at the National/Western Championships).

• Attend all competitions, practices and social events for your assigned team (mandatory).

• Verify team results for accuracy, produce daily media releases and convey to Baseball Alberta Provincial Office. (Attend all medal ceremonies with your teams)(Wear Baseball Alberta clothing at all times to set a professional BA –image)

• Monitor the protocol and integrity of on-site athlete drug testing if applicable.

• Assist coaches and managers with all administrative, coordinative details and communicate to them all matters related to Baseball Alberta/Baseball Canada/Western Canada policies and procedures.

• Assist coach/manager with game protest procedures if required.

• Involvement in disciplinary procedures where required. (Be prepared to act as an athlete advocate if required)

• Handle any emergency situations arising. (Medical, injuries, etc) Be familiar with key transportation routes, protocols and locations to all available medical facilities and services prior to the start of the tournament.

Chef de Mission, Post tournament Responsibilities:

• Submit written observations, results, incidents and recommendations to BA- Board of Directors. (Within 10 days upon return to Alberta)

. Record and submit all approved/miscellaneous expenses related to the tournament assignment with your final written report.

• Follow-up on and resolve any matters with the assigned team resulting from the tournament activity prior to submitting your report.

• Complete all duties as assigned by Baseball Alberta with the intent to: (Support and contribute to the future development and implementation of the broader Baseball Canada/Baseball Alberta/Western Canada collective vision, to deliver the post-provincial team concept to the Baseball Community in a professional and respectful manner).
