MINUTES OF THE MEETING OF THE CITADEL FAMILY ASSOCIATION BOARD OF DIRECTORS HELD ON FRIDAY, JANUARY 27,2012AT THE CITADEL, 171 MOULTRIE STREET, CHARLESTON, SOUTH CAROLINA

  1. CALL TO ORDER

Shamus Gillen called the meeting to order at 11:22AM.

  1. MINUTES

Minutes of the June 10, 2011 meeting were sent to members electronically. Hard copies are available. Ted Austin made a motion to accept the minutes as presented. A second was received. All approve.

  1. BOARD CHAIR REPORT
  • Greg shared that he would like to look into a new way of gathering names for our database. We have had some issues this year with receiving all of the information in a timely manner. Shamus will check with the school about getting parent information directly from the school rather than us having to collect it individually on Matriculation Day. Data Management has been updated through new software at the school. Shamus left and checked with the school about obtaining this information through the school. This will be allowed so we will no longer need the information sheets during Matriculation. Greg asked Shamus to contact the one person who is still looking for information on her company’s parents to assure her that we have taken all reasonable measures for collecting that data. This will also be helpful in capturing information on families with transfer students.
  • 2012 Matriculation Day is set for August 11, 2012 He would like to meet at least two days before matriculation and again immediately afterwards. Shamus informed us that there is a big PGA event at Kiawah in Charleston during that same weekend. We will need to get the word out early to parents and volunteers regarding making plans for accommodations.
  • Some suggested changes to the meeting prior to matriculation included:
  • Meeting with Company and Battalion Reps prior to the full meeting.
  • Having pre-purchased merchandise available for pick-up one hour prior to the meeting time.
  1. PRE-KNOB SCHEDULE

Pre-knob visits are scheduled for February, March and April. The schedule is as follows:

February 23 – Patti Wilkes

March 8 – Greg & Jacque Bear

April 12 – Patti Wilkes, Greg & Jacque Bear, and Ted Austin

  1. ANNUAL MEETING/CORPS DAY

Corps Day Weekend is March 16-18, 2012. The school will no longer allow us to set up a booth in Buyer Auditorium for selling CFA merchandise. We will encourage volunteers to wear their “blue shirts” so they will be easily recognizable for families with questions. The Annual Meeting is scheduled for Friday, March 16th, at 2:00PM in Duckett Hall. We would like to take a picture of the entire CFA Board following this meeting.

  1. CFA COMMITTEE CHAIR NOMINATIONS/APPOINTMENTS

The current officer’s terms will expire at the Annual Meeting 2013. Please begin looking for volunteers to fulfill these positions. There are currently some vacancies in Company Rep positions. Let’s try to get these slots filled. Company Reps are customarily Junior or Senior parents. We need to stay on top of making sure there are volunteers ready to step into these slots once cadets graduate.
