Purpose:
Tolead day-to-day running and organisation of the Primary After School Club at Polam Hall School. Tomanage thestaff and ensure that the provision is consistent, effective and of a high standard. To develop age-appropriate activities that engage the children. To ensure the safeguarding and welfare of the pupils in the club.
MAIN DUTIES:
To lead the day-to-day management and organisation of the After-School Club, as follows:
- To provide line management of the Playworker
- Work with all staff to ensure and provide care, play opportunities and activities in a homely, nurturing, and safe environment, with regard to the individual development needs of the children.
- to deliver high quality creative play opportunities in a safe and caring environment.
- Liaise with the school with regard to the needs of the children who attend the club.
- To safeguard children and ensure and promote their health and safety.
- To liaise with parents and bring any concerns to the attention of parents.
- To note any important information from parents and pass on to relevant professionals.
- Set up the area before children arrive and pack away at end of each session.
- Organise the space and resources to create a welcoming, relaxed and informal environment.
- Meet and greet parents & children as they arrive: ensure a positive relationship with both.
- Monitor behaviour and ensure everybody is happy and content: any concerns should beshared with the relevant professionals.
- Ensure there is a good standard of behaviour in line with the school’s behaviour policy.
- Communicate any relevant news or issues to others in the team.
- Report any concerns regarding safeguarding and welfare to the Principal
- Deal with any immediate problems or emergencies according to the school’s policies and procedures.
ADMINISTRATIVE DUTIES:
General administration
To lead the day-to-day administration and record keeping, including:
- Processing of term time bookings and managing ad hoc enquiries.
- Liaising with prospective parents, providing information and ensuring necessary documentation is accurate and complete e.g. contact information, medical needs etc.
- Recording attendance on daily register (including time of arrival and departure).
- Maintaining a weekly attendance register and half-term booking forms.
- Maintaining all records relating to the management of the club ensuring confidentiality and data protection of the children, their families and members of staff.
- Maintaining records of attendance and providing information returns and other appropriate records as required.
- Effectively managing the capacity of the club; managing the waiting list and offering places. Promoting and marketing the club effectively to maximise it is used to capacity.
Financial administration
To leadfinancial administration of the club, specifically:
- Administering bookings and collecting fees paid by cheque or cash.
- Providing information to parents regarding voucher schemes accepted by the school.
- Ensuring that any money transactions are handled and documented as directed by the school’s Finance Section.
- Keeping records of sessions attended and passing this information to the accounts team.
- Advising parents of fees due.
- Contributing to the preparation of an annual budget, ordering and purchasing equipment, supplies and resources.
Policies and procedural administration
To
- Ensureall records are kept updated and correct procedures re: medicines etc. are followed.
- Ensure that adequate standards of safety and hygiene are maintained throughout the after school club, including the completion of appropriate risk assessments and recording and reporting of hazards and accidents.
- Ensure due regard for safeguarding and promoting the welfare of children.
- Following the child protection procedures in line with the school’s safeguarding policy.
- Upholding, implementing and regularly reviewing all policies and procedures of the club in partnership with the school.
Communications
- Keeping other staff aware of relevant club news.
- Processing displays, letters, emails as and when needed.
- Liaising with school office staff and Principal on all relevant matters and issues.
- Developing professional working relationships with the school, all relevant professionals and authorities including the local authority and Ofsted
Staff
- Ensuring that all staff are aware of and adhere to the policies, guidance and procedures of the Out of Hours Club.
- Taking responsibility for personal professional development, including participation in own annual appraisal, any necessary training.
- Maintaining records of staff attendance, managing staff absence and lateness.

Person Specification
You will need to be someone who is passionate about all aspects of childcare and education, and able to bring new ideas to the role. You will need to have a caring and dynamic approach, as well as, an ability to lead and motivate a range of staff.
Role RequirementsEducation and qualification /
- Good general education.
- Good literacy and numeracy skills.
- NVQ Level 3 in Child Care/Play work or equivalent.
Knowledge and experience /
- Relevant supervisory/ management experience.
- Recent experience of working with children in a formal or informal setting.
- Basic knowledge of child development.
- Knowledge of EYFS learning requirements (desirable).
- Knowledge and understanding of Safeguarding and Child Protection procedures
- Knowledge and understanding of Health and Safety for an “out of hours” setting
