Instructions for Scrapbook Competition
2017
General: The best scrapbooks are those that provide a visual record of the projects and activities of an assembly over the course of a year. Only active members of the Assembly (a girl must NOT have reached her 20th birthday) may work on the scrapbook, including the cover. There should, however, be an adult advisor to supervise the work. Adults may also take photographs. The scrapbook must include photographs of assembly activities and projects. The Assembly should involve as many of its members as possible in preparing the scrapbook. Funds should be planned as part of the Assembly’s budget for its Scrapbook Committee to use.
There will be only one division of Scrapbook competition. Trophies and ribbons or certificates will be awarded. The Thomas Cook Art Award and the Overall Impression Award will also be awarded.
I.Content
1.Plan a theme that can be carried throughout the entire book, including the cover, photographs, artwork, page and picture captions, and activities. A general theme works best. For example, “Looking to the Rainbow” or “A Rainbow of Friendship” are broad enough to permit developing a good picture story that will give the scrapbook unity and clarity. While nothing should be used that reveals the ritual work of the Order, there are many phrases in the Ritual as well as in your activities to suggest a theme. Using the Grand Worthy Advisor’s theme or something related to it is acceptable. Be sure that if you use ocean characters, they are NOT copyrighted figures (such as, but not limited to, cartoon characters).
2.It is NOT appropriate to have a dedication page or use phrases like “Kelly’s Term,” “Susan’s East,” or “Jennifer’s Officers.” The Worthy Advisor serves her Assembly; everyone is important in any assembly. Keep the coverage of each term EQUAL in your scrapbook.
3.Drawings or appropriate photographs may be used, but DO NOT
A.Use professional photographs. Pictures from the Grand Assembly photo disks may be used.
B.Use any copyrighted characters or materials.
C.Use any stickers, commercial artwork, or clip art.
DO USE
A.Appropriate poetry, provided the poet or source is cited
B.Stamp art is acceptable on the pages of the scrapbook ONLY, not on the cover.
II.Design and Creativity
1.Establish a consistent color plan for the entire book. Use the colors of the Rainbow; use black and brown sparingly. Experiment with your inks and markers to avoid bleeding through some papers. Experiment first! Paper quality is essential in planning your scrapbook.
2.The Cover: Set the theme by artwork and lettering on the cover. The words “Rainbow Scrapbook” MUST appear on the cover. Do NOT use printed fabric or stamp art.
3.Title Page: The following must be included:
A.The word “Scrapbook”
B.The theme
C.The Assembly name and number
D.City and State
E.Year
F.Appropriate decorations/artwork as needed
4.Table of Contents: Each scrapbook must have:
A.A Table of Contents page that is easily read and evenly spaced
B.A number on each page that corresponds to the Table of Contents
C.A Credit Page to conclude the scrapbook. This page should acknowledge all committee members and advisors and use the theme of the scrapbook.
5.Page Design: Single page spreads as well as double page spreads should be used in the book as needed. Using the back of each page is recommended and will reduce the bulk of the scrapbook. If it’s necessary to continue an activity or project to the facing page (double page spread) or the reverse side of a page, an additional page heading is required for continuity. For example, Installation, Installation (cont.). In other words, every page should have a heading.
6.Photographs:
A.Choose the best, most distinct photographs. Use photographs that are in good taste.
B.Photographs must NOT be cut into fancy shapes. Elaborate artwork around a picture diverts attention away from it. Photographs must be mounted on colored paper that follows the photo edges and is consistent with the color plan of the book. Photographs must be mounted evenly for good presentation. The mount should include the photo and its caption. Hand lettering, computer print, or typing is acceptable. DO NOT deckle cut photos, but the mounts may be deckle cut.
C.Care should be taken to avoid a cluttered page. This distracts from the message of the page. No more than 4 photos per page (and that is often pushing it).
III.Lettering
1.Lettering MUST be uniform throughout the scrapbook. No commercial precut lettering or stenciled lettering is to be used. You may use computer-generated or Cricut lettering. Many fonts are available today. Here is how to evaluate the appropriateness of ANY lettering (computer, calligraphy if you have a girl who can do it, or free-hand): First and foremost, it must be legible throughout the book. One advantage of relatively plain lettering is that it is clear and does not get tiring to look at after a few pages. Even readable script gets old. Second, it should be attractive and appropriate to your theme, if possible. Neatness is obviously important. Finally, it should not call attention to itself aside from being readable and attractive. Lettering should complement a page, not be the focus of it. Also note that all caps are harder to read than using upper and lower case. Lettering is considered an aspect of the artistry of a scrapbook; any sort of produced lettering won’t rank as high in artistry as well-done hand lettering.
2.Use page headings for each page and relate them to the theme and content of the materials and photos on the page. Page headings should be on separate strips of paper and mounted and finished in the same manner as the photos on the page. This creates a unified look.
3.Give the first and last names of all persons in photos of three or fewer people. If there are more than three people, identify the activity only. Each photo label should be placed so that the photo to which it refers is clear.
4.Picture labels must include complete sentences and be free of errors in spelling, grammar, and punctuation. DO NOT use abbreviations such as “Xmas” or nicknames.
IV.Mechanics of Assembling the Scrapbook
1.Cover construction and size: Do not use heavy wood or fiberboard construction for covers. Scrapbook covers (not page size) must be no larger than 13” x 16”. NO odd shaped scrapbooks will be accepted.
2.Ease of handling: Make sure there are no protruding screws or fasteners from the assembly of the book. The book and its pages should lay FLAT when opened and closed. When the book is closed, the pages must not extend beyond the cover. Consider carefully the size of the book’s rings and number of pages. Avoid large rings; they make page turning difficult. Reinforce the holes of the pages before assembling the scrapbook.
The question of multi-volume scrapbooks has come up. While a multi-volume book is preferable to a single, large, bulky one, a set of books doesn’t handle as easily as a single volume. The committee decided not to ban multi-volume books, but instead to make everyone aware that such a book would receive a deduction in the ease of handling area. We are all very pleased that assemblies are so active, and we certainly don’t want to discourage that. However, choose the contents of the book with the purpose of telling a good story in the book. You don’t have to include everything you’ve done in one book in order to do that. You might want to make one volume for the competition that represents the best or highlights of what you’ve done this year, then make supplemental volumes for the assembly to complete the record of your full year.
3.Mounting and bulkiness: There can be NO protruding decorations on the cover or within the book, as they make the scrapbook bulky. All materials are to be FIRMLY mounted. Do not clutter the book with programs, etc. Photographs reveal the participation of the assembly members and tell the story. Avoid ruffles and DO NOT pad the cover. There are to be no three-dimensional covers. NO glitter is permitted anywhere in the book; it makes a mess. Lamination of the pages is acceptable. All material should be arranged so that the book will not have to be turned to read anything.
4.We suggest that a paper cutter be used for all trimming; it is much neater.
The entry form is due to Mom Jackson by May 1, 2016.
The rating sheet with the top completely filled in should be placed on the inside of the cover with a small piece of tape to prevent it from being lost. Please DO NOT send the rating sheet with the entry form. Points will be deducted for not providing a completed rating sheet with the scrapbook. The scrapbook is due to the Scrapbook area of the Multipurpose Room in the Kenyon Athletic Center NO LATER THAN 1 pm on Wednesday, July 6, 2016. The Grand Deputies and Grand Officers are due to Grand Assembly by 1 pm that day (provided we follow last year’s schedule), so send your scrapbook with one of them.
Be sure to designate one girl from your Assembly to carry your scrapbook in the Thursday evening Scrapbook Parade. The books will be in the northwest corner of the Grand Assembly Room. An announcement will be made during the meeting directing the girls to line up for the parade.
Scrapbooks should be picked up from the Multipurpose Room immediately prior to Installation on Saturday evening.
