Daily Deposit Procedures for University of Wisconsin Credit Union (UWCU) Account Holders

(Includes Childcare / Fitness / Athletics / Theater / OneCard / Gourmet / Admissions / Health / The Bake Shop / The Gallery / Food Services / Public Safety / Bookstore / Etc.)

Deposits for the Food Services, Bookstore, Gourmet, and The Bake Shop areas are to be made to the UWCU daily. Allother area deposits should be done weekly, ata minimum.

If you have a user-specific cash receipt form, please complete from your desk top. If this is not currently installed on your desk top, your manager must request your specific Workday Cash Receipt be installed via the Help Desk.

If you do not have an assigned form, please use the Deposit Form (Misc All) available via the forms database located on the College’s website (go to “D” and select “Deposit Form (Misc All)”). Please make every effort to use appropriate worktags as you prepare the deposit form.

1)Complete and print the department’s assigned form or theDeposit Form (Misc All) and attach a tape total and any other documentation to the form. It is strongly recommended that you keep a copy of the deposit for your files in case it is ever lost in transit.

2)Prepare the UWCU deposit by endorsing checks using your assigned endorsement stamp. Complete a deposit slip for the UWCU and include a check tape total.

NOTE: If the department does not have a designated UWCU account, prepare the deposit anddeposit it into the UWCU Master account (account 344795201) bycompletinga deposit slip provided by the UWCU.

3)Take the deposit/bag to the UWCU and obtain a stamped deposit slip receipt. Keep the stamped deposit slip receipt for your records.

4)Attach any documentation to the deposit form and send the materials to the attention of Accounting, Financial Resources within one day, or take the packet to the Payment Center to be sent to Financial Resources via the contracted armored car transport.

NOTE: Deposit slips are specific to your area and are not interchangeable with other areas. It is your responsibility to maintain deposit slips for your specific area. Additional deposit slips are available through the UWCU.
