MINUTES OF ANNUAL MEETING OF MEMBERS

OF BRIARWOOD ESTATES ASSOCIATION, INC.

June 14, 2017

The Annual Meeting of Briarwood Estates Association, Inc. was held at the St. John Township Community Center, Schererville, IN, on June 14, 2017. The meeting was called to order by the Chairperson for the meeting, Mr. Ray Kienker, President, Board of Directors, at 7:02 P.M.

Attendance showed a total of 36 voting members present either by person (30) or by proxy (6), which met the quorum requirements to conduct business.

The reading of the 2016 minutes was dispensed since they had been sent to members October 11, 2016 and included in the 2017 meeting notification packet. There being no additions or corrections, the minutes were approved.

Mr. Kienker introduced the board members (Kathy Brewer, Richard Miller, Joe Nowacki & Kent Westley) as well as Lori Kristoff from the Watson Management Group. He thanked the board and the committee members (ARC: Dave Allie, Bits Petro, Dale Schoon, Jim Riedl & James Mikulski; Garage Sale Committee: Cindy Fehleu, Lynda Riedl & Whitney Scott) for their hard work.

New Business:

Mr. Kienker called on Mr. Kent Wesley to review the budget, capital budget and assessments for the fiscal year (July 1, 2017 – June 30, 2018). Mr. Wesley stated the board feels the current amount of $18,379, (plus $500, add from this fiscal year) is enough funds to be held in reserve. He explained the only capital improvement covered by the association is rock replacement and mail box painting. The 2017-2018 budget and capital budget were approved. The quarterly assessments will remain $240, for the 1st quarter of this fiscal year (July 1st) will decrease to $225/per quarter for October 1, 2017 January 1 and April 1, 2018. Mr. Kienker presented the new management agreement with Watson Management Group and stated there is no price increase. The new management agreement with the Watson Office was approved for the term of July 1, 2017 to June 30, 2018.

Mr. Kienker then proceeded with voting for the board. Mr. Kienker stated there is one (1) position open. Mrs. Lynn Staniszeski has agreed to serve elected. Mr. Kienker asks for any nomination from the floor, no nominations came from the floor. It was moved, seconded and passed unanimously to accept the slate. The Briarwood’s Board of Directors for 2017-2018:

Kathy Brewer, Ray Kienker, Rich Miller, Joe Nowacki and Lynn Staniszeski

Other New Business:

Mr. Kienker asked for volunteers for the Block Party, Lois Mikulski and Pam Lau, both agreed to volunteer. Mrs. Mikulski stated she looked into having it at Little Italy Restaurant. There is no cost to renting their private room that can hold up to 65 people. The estimate cost is $17/per person. Owners at the meeting liked the idea of having it there. A hand vote was taken on which month would be best to hold it, the majority of the owners voted for September. The ladies will get more information and let owners know.

Questions or comments were taken from the members:

An owner stated he had a frozen irrigation pipe in his basement. He said it was hidden behind the installation and did not get any heat from the unit. Owners should check to see if they have a hidden pipe behind the installation, if so they should remove the installation in front of it.

An owner stated the units with no front porch may have a roof problem in the front. There is a dead valley which could cause a roof leak. He suggested to have the front part of roof checked out [he used M&M Roofing]).

Q. The new storage unit on the south side of Fairview Drive, were to have bushes install along the north side of their property, none have been installed?

A. Mrs. Kristoff stated she would contact the Town of Dyer to check on them. (After the meeting Mrs. Kristoff contacted the town. The bushes will be installed prior to them receiving their occupancy permit)

An owner stated owners with their back yard facing east on North Winds Drive, should check their basements for cracks. During the construction when land movers were used she found cracks in her basement.

Q. Can a list be provide of the landscape schedule be provided?

A. A landscape schedule will be provided, (see attachment).

Old Business:

Owners were reminded of the dates for the quarterly meeting for 2017 (August 16th and November 15th).

No additional new business came forth.

The meeting adjourned at 8:31 P.M.
