A small levy may be charged in rural and regional areas by the local co-ordinating agency to cover the cost of the venue and catering. However this must be negotiated with ECAV.
For courses outside NSW
ECAV requires the local co-ordinator to complete a Training Venue Checklist prior to the training to ensure the venue meets OH&S requirements.
Completing this Training Request Form assists ECAV in planning and conducting training across NSW.

What is involved in requesting and coordinating an ECAV course?
ECAV is responsible for organising the course flyer and application form, course registrations, scheduling dates and trainers, supplying all training materials and participant resources and delivery of the training. Each course is assigned a closing date (6 weeks prior to the course), the local contact person is required to make contact with the ECAV course co-ordinator at least 2 months prior to this date so that they can distribute the flyer through their networks. Please do not make any changes to the flyer and application form. ECAV usually requires a minimum of 12 participants and a maximum of 25 participants.
The ECAV course co-ordinator will liaise with the local contact person via the telephone on the closing date to discuss the selection and administration of letters to applicants. Once the course has closed the ECAV course co-ordinator will arrange to send out acceptance, non-acceptance and waiting list letters. When requesting an ECAV course a local contact person needs to be identified to liaise with the designated ECAV course co-ordinator. The local contact person is responsible for the tasks outlined below;
Contact and liaise with the ECAV course co-ordinator
Inform their Line Manager of the training
Advertise and promote the workshop locally
Provide and fund a wheelchair accessible venue
Provide and fund morning and afternoon tea for each day of the workshop
Organise tea and coffee on arrival for each day of the workshop
Provide necessary training equipment
Complete the ECAV Training Venue Checklist and return a copy to the ECAV Course Coordinator (see attached)
Venue
Secure a venue well in advance and ensure it is a quiet, private room that comfortably holds 20/25 people in a horseshoe formation, ideally with additional space for small group work. Venue is to be suitable for interactive workshops rather than lecture style. Adequate heating and ventilation is also required. It is essential that one venue is organised for the duration of the course. ECAV requests that the training venue complies with WH&S legislation and is wheelchair accessible. The local contact person needs to complete the ECAV Training Venue Checklist and return it to the ECAV coordinator approximately 6 weeks prior to commencement of the course.
Training Equipment
The local contact person in consultation with the ECAV course coordinator is responsible for organising the following: 20/25 chairs, table to display resources, whiteboard, TV & VHS/DVD, data projector & laptop if available.
Refreshments
Tea and coffee is to be ready on arrival, the tea and coffee making facilities should be slightly separate from the main training area. Organising a substantial morning and afternoon tea for each day of the training is also important. Courses run in rural areas may charge a small fee to participants to cover the costs of morning/afternoon tea and the venue. This is to be negotiated via the ECAV course coordinator. The local contact person would be responsible for the collection and receipt of this money as this is a local issue unrelated to the training offered by ECAV.
If the identified local contact person experiences difficulty with any of these tasks or if there is a change in the designated person allocated to these duties, the ECAV course co-ordinator is to be informed as soon as possible so they can ensure the necessary planning takes place.
Please note that the requestor/coordinator of an ECAV course can negotiate 5 free spaces in the workshop with the ECAV Coordinator.
