EFIL Project Coordinator

The European Federation for Intercultural Learning (EFIL) is hiring a Project Coordinator for its Secretariat in Brussels. S/He will report directly to the Secretary-General.

EFIL is an international non-profit organisation based in Brussels with 30 Members including all European AFS Organisations. The members are volunteer-based educational organisations that offer long- and short-term intercultural stays for young people in a worldwide network.

EFIL is a key player in Europe in the field of intercultural learning. Its main activities focus on supporting and developing its member organisations with advocacy work, sharing of know-how, organising training events, coordinating projects and programmes. Next to this, EFIL also focuses on developing AFS structures in countries where there is no current AFS presence. EFIL’s activities often are financially supported by the European institutions.

At the EFIL Secretariat in Brussels, a team of 6 professionals and a variable number of volunteers/interns work in a dynamic, international and multicultural environment. EFIL recognises all relevant work and education experiences, including those acquired in non-formal learning and volunteer environments. English is the language of communication at the EFIL Secretariat and within the EFIL network.

Main tasks:

The Project Coordinator will be responsible for the coordination (preparation, implementation, follow-up, fundraising and reporting) of three of EFIL’s large projects/programmes:

·  EUROPEAN CITIZENSHIP TRIMESTER PROGRAMME (ECTP)

Each year EFIL coordinates the European Citizenship Trimester Programme (ECTP), a host-family and school-based programme with an additional strong focus on active European citizenship. Some 300 participants (age 15-18) from all over Europe meet at two parallel joint 4-day end-of-stay camps in Brussels/Malle in November/December before returning to their home countries. The Project Coordinator puts together and leads the international ECTP preparatory team and coordinates its financial/administrative management. The running of the camps is supported by a large team of volunteers from EFIL’s member organisations.

·  EFIL VOLUNTEER SUMMER SUMMIT (VSS)

The EFIL Volunteer Summer Summit is an annual 5-day event hosted by one of EFIL’s member organisations in July/August. The event brings together some 250 AFS volunteers from all over Europe to share experiences and improve practices in volunteer work through a series of learning tracks and workshops. The Project Coordinator puts together and leads the VSS preparatory team. S/He secures external funding of the project and monitors its financial and administrative management.

·  PEACE PROGRAMME

“Promoting Peace in Europe and Asia through Global Citizenship Education” (PEACE) is a 3-month exchange programme similar to the intra-European ECTP, this time between Asia and Europe with end-of-stay camps in Europe (Brussels) and Asia (Kuala Lumpur), one in the spring, the other in autumn. In a two-year project (2017-2018) sponsored by the European Union the project design is worked out and tested in a pilot. The Project Coordinator will join the project Steering Committee and will take on the coordination of the pilot programme in 2018 and the future programme as of 2019, including appropriate administration and reporting towards to funders.

·  OTHER DUTIES

o  Involvement in drafting funding proposals to secure the financial sustainability of EFIL and its activities (Erasmus+, European Youth Foundation, etc.);

o  Other duties as assigned.

Profile of the Candidate

Required:

·  A good understanding of and experience in the sector of volunteer-based, youth-oriented non-governmental and non-profit organisations, preferably focused on intercultural exchange.

·  Leadership and organisational skills including relevant experience with coordination of events and facilitating in-person and virtual volunteer teams.

·  Strong communications skills in an international and online-based setting, including ability to build relationships across the network.

·  Basic competence in project financial and administrative management, including reporting to funding institutions.

·  Excellent oral and written English language skills; able to convey information effectively in a coherent, courteous and tactful manner.

·  Strong interpersonal skills, service-oriented, mission-driven, able to work with minimal supervision as well as in team; passionate enthusiasm and commitment to high performance and results; high standards of accuracy, thoroughness and quality; able to meet deadlines, work efficiently and set priorities appropriately.

·  Knowledge of standard Microsoft Office software and familiarity with effective use of social media (Facebook, Instagram, Twitter, etc.).

·  Prepared to live in Brussels or surroundings; prepared to travel regularly, including occasional week-end traveling. Must be legally eligible to work in the EU or possess a work permit in Belgium.

Desired:

·  Familiarity or a history with AFS Intercultural Programs.

·  Experience as a member of the preparatory teams of the above mentioned key events.

·  Relevant prior experience as a trainer and in training design.

·  Knowledge about and experience with European programmes and funding institutions.

Terms of Contract

·  Location: Brussels, Belgium.

·  Duration of the contract: unlimited.

·  Working regime: full time position.

·  Gross salary: official salary scales PC 329.01-B2b based on years of working experience
